Working time
How recorded time is counted, one unit at a time: rounding, overtime, how long a shift may stay open, and what a shift must say.
Change how time is counted
- Choose the unit under Settings for: the page opens on the top of your tree, whose rules every unit beneath follows unless it sets its own.
- If it says the unit uses another's rules, press Set its own.
- Set Round recorded time to, in minutes, and its Direction: to the nearest, up, or down. 0 means the minutes actually worked.
- Set Daily overtime after and Weekly overtime after, in minutes, or leave them blank for none.
- Set Close an open shift after, in hours.
- Press Save changes on the bar at the foot of the page.
Then: The new rules count every shift recorded beneath that unit from then on. The hours people recorded do not change; how they are counted does.
Sokha's organization counts time in quarter hours. Sokha rounds recorded time to the nearest 15 minutes and counts daily overtime after 480 minutes, so a shift recorded at 8 hours and 7 minutes counts as 8 hours, and a 9-hour day shows an hour of overtime.
Give a unit rules of its own
- Choose the unit under Settings for. The line beside it says whose rules it uses.
- Press Set its own: its rules open, as it follows them now.
- Change what should differ.
- Press Save changes.
Then: Its rules apply to it and everything beneath it, and it is listed under Units with rules of their own.
Rather not? Press Clear its own rules, read what it will follow instead, and press Clear them to have it follow the unit above it once more.
Ask people what a shift was spent on, or for a note
- Choose the unit under Settings for, and press Set its own if it uses another's rules.
- Choose Ask for a category under Ask what the time was spent on.
- Choose Ask for a note under the field of that name, if you want one too.
- Press Save changes.
Then: A shift with no category, or no note, is flagged for whoever approves it. Neither ever stops anybody clocking out, and a note on the shift or on any of its lines is enough.
If a shift is left open
- Read Open shifts: after how many hours a shift is closed, and when the person is asked whether they are still clocked in.
- Change the hours under Close an open shift after, and press Save changes.
- Change when people are asked on Timesheets.
Then: A shift still open after those hours is closed without an end time, unpaired, and shows on the person's timesheet as never closed until it is corrected. It is never given an end time it did not have.
These rules decide what people are paid, so an Owner or an Admin changes them: it needs both Change organization settings and Set pay at the unit. Anybody else who holds Change organization settings, such as the IT admin, sees what applies at each unit, every rule shown and none working, and is told so. The page opens only for those who hold Change organization settings: anybody else who types its address is told it is set up by the organization's Owners and Admins. What time is spent on, the Category box, is set under Settings › Categories › Timesheet categories.
