To do

Everything you have been asked to do, in one place: what is waiting on your answer at the top, then one list of the rest in order of when it is due.

Answer what is waiting on you

  1. Open My workspace. It opens on To do.
  2. Read Needs you at the top. Each row there is waiting on your answer, and is answered on the row itself.
  3. On an action marked Review, press Approve if the work is finished.
  4. Or press Send back, write what is still missing under Note back, and press Send back again in the sheet.
  5. On a row that asks Can you do this?, or a sign-up, press Answer and say yes or no in the sheet that opens.
  6. On people asking to join a group you run, press Let them in, or See who to look at them first.
  7. On a class you facilitate, press what it waits on, such as Take the register.

Then: Each answer goes as you press it and the row leaves Needs you. Whoever was waiting is told: an action sent back goes to whoever did it, with your note at the top; whoever put you on a line hears your answer; people let in are told they are in.

Who: Only the reviewer named on an action can approve it: whoever does the work cannot sign it off themselves.

On Monday Needs you shows 3. Sokha sent you 'Circulate the safeguarding policy' for review; you see it went to one region only, press Send back with the note 'North region too, please', and Sokha is told at once. Then you press Answer on a line at the spring convention and say yes, and Let them in for two people asking to join the choir group.

Move on an action you were given

  1. Find the action under Your list. Overdue comes first, then This week, Later and No date.
  2. Press Start on its row when you begin.
  3. When it is finished, press the same button again: it now says Mark done, or Send for review where somebody reviews it.
  4. To say more, press the action's title. It opens beside the list.
  5. Write what changed under Add a note, choose Progress or Blocker under Kind, and press Note it.

Then: Sent for review, it waits under Waiting on others at the foot of the list, and its reviewer is told. Marked done, it moves to Done lately, where it stays for thirty days.

Rather not? Changed your mind after sending it? Open it and press Take it back before the reviewer answers.

Who: Whoever asked for it, or the board of its unit, can cancel it; the person given it cannot.

Dara was asked at the March board meeting to collect three quotes for the new roof by the 28th. Dara presses Start on the 10th, notes 'Two quotes in, waiting on the third' on the 17th, and presses Send for review on the 24th; Mary Ann, the reviewer, is told the same minute.

Answer when you are booked to speak or help at a program

  1. Find the card under Needs you that names the program, its days, your times and who asked you.
  2. Press I'll be there.
  3. Or press I can't, write why in the box if you like, and press Tell them I can't.

Then: Saying yes puts it on your list under its day, with Open the run sheet and Crew chat where the program has them. Saying you can't tells whoever keeps you and whoever asked.

Rather not? Changed your mind? Press Change on its row in your list and answer again.

Grace is booked to lead the Saturday workshop at the youth camp, 9:00 to 10:30 AM. The card shows the two lines and who asked; Grace presses I'll be there, and the camp moves to Grace's list under the week it starts, with the run sheet a press away.

Show one kind of work

  1. Look at the chips beside Your list: All, Actions, Tasks, Programs, People, Donors, Courses or HR checklist. Only the kinds you have are offered, each with how many.
  2. Press one to see that kind alone.
  3. Press All to see everything again.
  4. To see every kind of work in one table, press All tasks at the top of the page.

Then: The list keeps its order: overdue first, then the next seven days, later, and no date.

If something you agreed to do is not here

  1. Open Waiting on others at the foot of the list: an action you sent for review waits there until its reviewer answers.
  2. Open Done lately: what you finished in the last thirty days is there.
  3. If it is in neither, ask whoever took the minutes or made the plan to put your name on it.

Then: Once your name is on it, it appears here at once, under the week it is due.

Only what is yours: actions given to you or sent to you for review, tasks on projects, your jobs and lines on programs, bookings of you, people you follow up, your classes, and the donors given to you. What is yours stays here wherever you are seated. Tasks, courses, donors and HR rows appear only where your organization's plan includes them.
