Timesheets

How a timesheet travels here, and who decides each step: worked, confirmed by its person, approved, signed a second time where you ask, and payroll.

Choose what is approved, and by whom

  1. Choose The whole organization under Settings for, and press a step under A timesheet's way here to go to its section.
  2. Under What is approved, choose the whole timesheet, once its person confirms it, or Each shift, as it comes.
  3. Under Who may approve it, choose Only the people shown on a timesheet's route, or Anyone above, too.
  4. Under Sign-offs, choose whether Two people sign off each shift, and whether the second comes from the level above.
  5. Press Save changes on the bar at the foot of the page.

Then: Time is approved this way from then on. Either way, the Owner and Admins can step in on any timesheet, with a note that is kept on its shifts.

Grace's organization asks for two sign-offs, the second from the level above. A lead approves a shift and it shows signed once; the Coordinator above them makes it final. The lead who signed first cannot give the second.

Set the pay period, and the days to confirm it

  1. Under Pay period, choose how long one timesheet covers, and the day A period starts on.
  2. Choose the day A workweek starts on, for weekly overtime.
  3. Under Confirming, choose whether People confirm each period's timesheet, and the days they have.
  4. Press Save changes on the bar at the foot of the page.

Then: When a period ends, each person confirms their hours are complete and correct and is reminded until they do. Past the days to confirm it, a timesheet still waiting for its person goes to its approvers anyway, marked as not confirmed, so payroll never waits on somebody who forgot.

Set when approvers are reminded

  1. Set Remind approvers after, in days from when a timesheet reached them.
  2. Set Tell the level above after, counted the same way.
  3. Choose whether to Ask “Still clocked in?”, and after how many hours.
  4. Press Save changes on the bar at the foot of the page.

Then: Approvers are reminded once a timesheet has waited that long, and the level above is told if it keeps waiting, or if a report sent in waits too long to be read or signed. Somebody still clocked in is asked, so they can clock out or ask for a correction.

Decide about volunteers' hours and payroll

  1. Under Volunteers' hours, choose whether Volunteers' hours need sign-off or are accepted as recorded.
  2. Give the value of a volunteer hour for reports, or leave it empty.
  3. Under Payroll, choose whether Hours can be exported for payroll, and whether Exporting a period locks it.
  4. Under Hours on dashboards, choose what counts as hours worked.
  5. Press Save changes on the bar at the foot of the page.

Then: Volunteers' finished shifts that need no sign-off are accepted within half an hour. Only approved hours go to payroll, and a locked period stays as payroll saw it: anything found wrong afterwards is an adjustment in an open period.

Let a unit answer for itself

  1. On the organization's answers, choose the choices units may make, such as Units may choose how their time is approved, and press Save changes.
  2. Choose the unit under Settings for.
  3. Answer its own questions, such as whether its people keep Timesheets, their Hours a week, and a Backup approver: press Choose from the approvers to see who may be one.
  4. Press Save changes.

Then: The unit and those beneath it follow its answers; a unit with none follows the one above it, and a person's own answer on their seat always wins. The organization's answers list the units that answer differently, with what they change, each leading to its own.

Volunteers at Dara's youth unit are not asked for timesheets. The unit says so once, rather than on forty seats; the one volunteer who records hours for a grant has Required on their own seat, and that wins.

Only the organization's Owners and Admins change its answers: they decide whose hours are signed off, by whom and how often, so changing them needs both Change organization settings and Approve shifts, and the IT admin, who approves nobody's time, reads them. A unit's own answers are changed where the organization lets units choose, by whoever holds Set this unit's timesheet choices there. Everybody else who opens the page sees how timesheets travel.
