Thank-yous
How one unit thanks its donors: the gifts still waiting, how quickly they are thanked, its own wording, its receipts, its Give page, its funds and the year-end statements.
Thank the gifts waiting, or remind whoever has them
- Look under Waiting to be thanked. A late one is in red.
- Press Send the thank-you or Thank them on one that is yours.
- On somebody else's, press Nudge with their name to remind them.
Then: A nudge reaches them as a notification saying you asked, with a link to the donor's card.
Write the unit's wording, and what each fund does
- Under the unit's wording, choose which: the thank-you email, the letter, the receipt or the year-end statement.
- Choose the Language.
- Change the Subject and the Wording, keeping the parts in braces, such as {first name} and {amount}, where each donor's details go.
- Press Save.
- Under Funds, press Edit on a fund, or Add a fund, and say What it does in one line.
Then: Every thank-you, letter, receipt and statement from then on is in your words, with each donor's details filled in: in the donor's own language where you have written it, else in English. A fund's line goes into every thank-you for a gift to it.
Rather not? Press Back to the wording given to return to the app's own words.
Choose when to thank, what caretakers see, and the receipts
- Under When to thank, set Thank a gift within so many days.
- Check Monthly gifts: thank the first, then once a year in the statement and Suggest the next contact when a thank-you is done as you want them, and press Save.
- Under What caretakers see, check or uncheck Caretakers see gift amounts, and press Save.
- Under Receipts, change how they are Numbered, the Address on the letterhead and the account Gifts are credited to, and press Save.
Then: Each new gift's thank-you is due that many days after it came, on its caretaker's To do, and a late one rises to Needs you. With amounts hidden, a caretaker sees each gift's day and fund but no figure.
Take gifts on your Give page
- Under Your Give page, check Take gifts on our Give page.
- Write A line at the top of the page, saying what a gift does here.
- Press Save, and confirm it's you with your password when asked.
- Press Download for a poster for its QR code.
Then: Givers say who they are and how they would like to be thanked, then see how to pay: the unit's bank details or its payment page. Each promise waits on Gifts for whoever keeps the book to mark received. Every owner and admin is told when the line at the top changes.
Who: Payment routes are set in Settings › Money › Payments by the Owner or an Admin; whoever keeps the book can propose a change there.
Send the year-end statements
- Under Year-end statements, choose the year.
- Read how many go by email, how many are to print, and how many donors asked not to be contacted.
- Press the button that prepares that year's statements.
- Press Prepare them.
- Press The ones to print (PDF), and post them.
Then: Each donor who gave that year gets one statement — every gift, the total, the receipts — by email where they welcome it, and printed for the rest. Each is written on the donor's timeline, and nobody gets two.
This page is about one unit's book: choose it under Unit if you read several. Everybody with See the books there sees all of it; changing anything needs Record money there, and the organization's own funds need whoever keeps the top unit's book. Waiting to be thanked lists every gift still to thank at the unit, and offers a thank-you only on yours.
