Team hours

What everybody at and below your units has worked this month, added up by unit, by category and by person, from the hours they recorded.

See how the month stands across your units

  1. Open Team hours: a tab of Approvals, or its own entry in the menu if you approve nothing.
  2. Read the six tiles: the month's hours, the people filing, shifts never closed, how much is in a category, the month against the target, and seats filing nothing.
  3. Press the month before or after the month's name, beside the title, to step back or forward.
  4. Read the cards under the tiles: Effort per seat, Against target by unit, Where the time went, Twelve months and Silent units.
  5. Read By unit and By category for the month's totals.

Then: Every figure counts the hours people recorded, not what was planned. Where volunteers worked, a line under the tiles gives their approved hours and what they are worth in kind at each unit's rate. Hours put right after payroll locked their period are said in a line of their own, with a link to Payroll, and are not in the figures.

On the 20th, Grace reads Against target at 61% and is not worried: the target is the whole month's. Silent units lists the Kampot youth club, with 4 seats asked to file and nothing filed, so Grace writes to its lead.

Look at some units, or one category, only

  1. Press + Add filter under the title.
  2. Type part of a unit's name in Find a unit.
  3. Check each unit you want.
  4. Or choose a category under Or a category.
  5. Press Clear all filters to see everything again.

Then: Every figure on the page, the list of people and the download work out again for what you chose, each unit with the units below it. The choice stays in the page's address with the month, so you can send the link to a colleague.

Rather not? If nothing matches, press Clear the filter under Nothing matches this filter.

Open one person's month

  1. Type at least two letters of their name in Find a person, beside the month.
  2. Choose them in the list, or move to them with the arrow keys and press Enter.
  3. Or find them under By person, at the foot: type in the box above the list, or press Add filter to see only some of them, such as shifts never closed or sent late from a phone.
  4. Press their row.

Then: Their month opens, the month you were reading, with every day and what it was spent on.

Sokha leads a region, and By person shows Daniel far below the usual. Sokha types "dan" in Find a person and opens Daniel's month: three days are marked Never closed, because Daniel clocked in and never out. Daniel's lead puts the three days right in Approvals.

Download the month

  1. Choose the month, and any filter, first: the file is what the page shows.
  2. Press Download.
  3. Choose Excel (.xlsx) or CSV (.csv).

Then: The file has a sheet by person, by unit and by category, with approved and waiting hours in columns of their own and the shifts never closed or sent late, and a sheet saying what it covers: the month, the units, the value of volunteer time, names withheld and adjustments. Each download is recorded.

Mary Ann needs a funder's volunteer-hours return. They filter Team hours to the Kampot region, step back to September, press Download and choose Excel (.xlsx). The About sheet gives the approved volunteer hours and their value in kind.

Add past hours from a sign-in sheet

  1. Press Import past hours beside the month.
  2. Press Excel template or CSV template. Its unit list holds only the units where you approve hours.
  3. Fill in one row per shift: their email or employee number, the unit, the day, the start and the end on the unit's own clock, and any break.
  4. Press Choose the filled-in file and pick it.
  5. Check the rows it shows, then press the import button under them.

Then: Each shift is added waiting for approval, with a reason the person reads beside it, and each person is told once that past hours were added, however many rows were theirs.

Who: Whoever approves hours at the unit signs the shifts off in Approvals, as for clocked ones. What a shift was spent on is the person's own to say, so the file has no category.

Dara kept paper sign-in sheets at a summer camp. They download the Excel template, type 40 shifts for 12 volunteers and import them. The 12 are each told once, and the shifts wait in Approvals for the camp's lead.

You see the people seated at and below the units where you read hours: a unit's lead or coordinator, HR, an Owner or an Admin. Somebody who reads only their own hours is pointed to their timesheet. A unit that keeps its members' details to itself shows its hours without names. Import past hours, and the waiting hours that open Approvals, are only for people who approve hours.
