Supplier credits
A supplier's credit notes — goods sent back, a price corrected — what is left of each, and where it went: applied to their bills, or refunded.
Record a supplier's credit
- Press New credit.
- Choose the Supplier and say What it is for: chairs sent back.
- Type Their credit note no. and the Day on it.
- For each line, choose what it takes back under Spent on, the quantity and price, its Tax and its Fund, as on a bill. Press Add a line for another. A line may name its own program and tags, as on a bill.
- In another currency than the book's — the supplier's, to start — choose its Currency and type the rate, as on a bill; it then settles their bills in that currency, and a refund asks the rate the money came at.
- Press Record the credit.
Then: It is in the book the other way from a bill: what you owe the supplier comes down, and so do the lines' accounts and any tax to reclaim. It shows here with what is left of it. A line naming a stock item under Stock items sends that many back at the line's cost; where it takes the last of the item, what value is left goes to cost of sales in the same entry, so nothing on the shelf is worth something.
Rather not? Recorded by mistake? Press the three dots and Void… while nothing of it is applied or refunded, say why, and press Void it: its entry is reversed, on the record, and any stock it sent back comes back to the shelf.
Apply a credit to their bills
- Press Apply to a bill beside the credit.
- Choose Their bill among their open bills.
- Leave the amount empty for all of the credit that can settle it — in the funds both share, never more than the bill owes — or type less.
- Press Apply it. Do it again for another bill.
Then: The bill owes less, and once nothing is left on it, it reads Paid. Nothing more is posted: what you owe came down when the credit was recorded. Each apply is on the record; to take it back, press the three dots and Take off, say why, and press Take it off.
Print House credits $72 for misprinted flyers. Grace applies $40 to the open flyers bill, which is then paid, and the last $32 to next month's posters.
Record the money they sent back
- Press Refunded… beside the credit.
- Choose where it Came into and the day On.
- Leave the amount as all that is left, or type less, and a reference.
- Press Record the refund.
Then: The money account goes up by it and what you owe goes back up, fund by fund. When the bank's statement comes, the line matches it on For review. To take it back, press the three dots and Undo refund, say why, and press Undo it.
Supplier credits shows one book at a time — choose another with the unit switch — where you have See the books. Recording, applying, refunding and voiding need Record money there. Credits are part of Budgets & expenses, where your organization's plan has it.
