Staff reports
The reports people have sent in: what waits for you to read or sign off, who has not sent theirs, and where each report goes next.
Read a report and mark it read
- Press To read. It lists the reports waiting for you, the newest first.
- Press Read beside a report.
- Read its route, its answers, and the photos and files sent with it.
- Write in Your note if you have something to say. It is optional.
- Press Mark as read.
Then: The sheet closes with a note saying it is marked as read, and the report leaves To read. The writer is told it was read, with your note, and the notice every other reader had about it is put away. Where its form asks for sign-off up the tree, the readers a level above are asked to sign it next; otherwise it moves to Done.
Rather not? Press Summarize with the assistant, where your organization has the assistant on, to have it summed up beside the page first.
Who: Anybody who reads reports at the writer's unit may read it, or only the people on its route where its form says so. It is read once: whoever acts first.
Sokha leads a youth center and opens Staff reports on Monday: 3 reports wait under To read. They read Dara's, write "Thanks, a great turnout" and press Mark as read. The form asks for sign-off, so the region's readers are asked next.
Send a report back with a question
- Press Read beside the report.
- Write what needs changing in Your note. A note is needed to send it back.
- Press Send back with a note.
Then: The sheet closes with a note saying it was sent back. The writer is told it came back with your note, and finds it on My report to change and send again: it is the same report, with the answers they gave. While it is with them, it shows as sent back under In progress.
A report gives 400 volunteers for a center of 40. Grace sends it back asking about that one figure. The rest of the answers stay as written, and the writer corrects the number and sends it again.
Follow one form's round
- Under Rounds, press a round: one form's one period, with when it is due and how many are in.
- Read its line: when it is due, when reminders start, how many were asked and how many are in your reach.
- Read the bar: done, signing off, waiting to be read, sent back and not sent.
- Press Open the form to see the form itself, or All rounds to go back.
- Press Finished for the rounds that are all in.
Then: The queues below show that round's reports only. Type in the search box, or press Add filter to narrow them by unit, or to the reports filed late.
On the 28th Daniel presses the October report under Rounds: 14 asked, 11 in. The bar shows 3 not sent, so Daniel opens Not sent yet and reminds those three by name rather than all fourteen.
See where a report goes next
- Press In progress for reports read or signed elsewhere, sent back, or your own.
- Press Open beside a report.
- Read Its route: where it was written, where it is read, each level that signs it after, and who at each.
- Press Done for the reports that are read and, where the form asks, signed off at every level.
Then: The step waiting now is marked waiting. A report not yet read shows its whole route before anybody acts, worked out from today's seats.
If a report you expect is not here
- Check Not sent yet. A report somebody started and has not sent is there, marked Started, until they send it.
- Check the date. The queues reach back 120 days: for an older report, open the form's Results and press the number under Sent in for that period.
- Check the unit. You see reports only from units where you read reports.
Then: Until somebody sends their report, their answers and notes stay with them: you see only that they have started.
You see the reports sent in at units where you hold Read work reports, over the last 120 days, and only where your organization's plan has Staff reports & forms. A writer in a unit that keeps names from those above shows as Name withheld, and is counted, never named, under Not sent yet. Your own reports are listed, marked as yours, for somebody else to read. Somebody who reads roll-ups and reviews no reports, a Board member, a Finance officer or an Auditor, is taken to the Monthly roll-up, which their menu calls Reports; anybody else who reads reports nowhere sees a line pointing to My report.
