Shared outside
Every file people outside your organization can open: who it went to, who opened it and when, and when it ends.
See who opened a file you shared
- Press a share in the list.
- Read each reader's line: when they first opened it, or Not yet.
- For a link for anyone, read how many times it was opened.
Then: A link for anyone counts its opens, never who opened it. Newsletters and reports sent to lists are listed here too.
You sent the funders' report to 19 people. 12 have opened it, and one link paused after it was passed around an office: you let it open again for that funder and send the other 7 a reminder.
Stop somebody opening it
- Press the share.
- Press Stop beside the reader to end their link at once.
- Or press Stop this share, then Stop it, to end every link of it.
Then: The link stops working at once. A stopped link stays stopped: to send the file again, share it again.
Who: An Owner or Admin sees every share in the organization, and can press Stop every link to stop them all at once.
Let a paused link open again
- Press the share that says a link is paused.
- Press Let it open again beside the reader.
- Or press Send that person a fresh link to replace it.
Then: A link opened on too many devices in a day pauses itself, and the others keep working. A fresh link goes only to the address the first one went to, and the old one stops.
Remind those who have not opened it
- Press the share.
- Press Send a reminder to those who haven't opened it.
Then: Each person who has not opened it gets a new link by email, which ends when the share does.
If a share says Not opening
- Read the reason after Not opening: sharing is off, Anyone with the link is off, the file is in the trash, it is marked Restricted or Sensitive, or it is in a folder never shared outside.
- Put that right: an Owner or Admin turns sharing back on in Sharing and contacts, and the file's owner restores the file or changes its handling.
Then: Its links open again until their day. A share whose version of the file is no longer kept never opens again: share the file again.
Your own shares, or every share in the organization if you are an Owner or Admin. Somebody who joined from outside has no Drive here, and so no shares.
