Set up payroll
One checklist a unit of everything its pay needs, each step read from what is really set, with a button to where it is set.
Put right what is still missing
- Choose the Unit and press Show, if you set pay at more than one.
- Read the six steps: the pay period, overtime, the tax table for the next pay day, everybody's rate, the pay day and who approves. A step not done has its button filled in.
- Press the button beside a step, such as Add the table or Set 3 rates, and set it where it opens.
- Come back to Set up payroll: the step reads done.
Then: Each step is checked from what is really set, so it stays true as things change: a tax table that runs out, or somebody added with no rate, shows here again.
Who: Overtime and the tax table are set by HR at the top of the organization or an Owner; the pay period by an Owner or an Admin in Settings › Timesheets; rates and the pay day by HR who sets pay at the unit.
Northfield's checklist reads four of six done: no tax table is in force for pay days from November 1, and Maria Santos, Ken Ito and Rosa Diaz have no rate. Sokha presses Set 3 rates, types each on Rates, and the step reads done.
Set the pay day, so runs draft themselves
- Under Pay day, choose how Pay day falls: on a day of the week after the period, or a number of days after it.
- Choose the Day of the week, such as Friday, or type the Days after.
- Press Save the pay day.
Then: Each period's run drafts itself on the hourly check after the period's timesheets are closed for confirming, on the pay day the rule gives, and HR who sets pay at the unit is told. It is a draft: open it, read Ready for pay day? and send it.
Rather not? Choose No rule and save, and each run is started by hand on Pay runs again.
Who: HR who sets pay at the unit. A run that drafted itself was prepared by nobody: whoever sends it becomes its preparer, and someone else approves it. Whoever set or changed the pay day never approves a run it timed either: its pay day picks the tax table its lines are worked out with.
Northfield pays every two weeks from Monday, October 26, and timesheets are confirmed within 3 days. With the pay day the Friday after, the run for October 26 to November 8 drafts itself on Thursday, November 12, with pay day Friday, November 13.
If a run did not draft itself
- Read the Pay day step: it says whether a rule is set, and whether timesheets have a day to be confirmed by.
- Check the day: a run drafts itself only after the last day people may confirm the period's timesheets.
- Open Pay runs: if the unit already has a run for the period, even a canceled one, no second is drafted.
- Start it by hand under Start a pay run if it is still needed.
Then: Once a run drafts itself, HR who sets pay at the unit is told, and the run says it drafted itself at the top of Ready for pay day?.
Who: Whether timesheets are confirmed, and by when, is set by an Owner or an Admin in Settings › Timesheets.
Set up payroll shows where your organization's plan has Pay runs, to HR who sets pay at a unit and whoever reads pay there: the units in its list are those. It names who has no rate, never what anybody is paid. The pay day form is only for HR who sets pay at the unit.
