Send a newsletter or report

A file from Drive sent to your contact lists: each reader gets an email with one button that opens it, with nothing to sign in to.

Send a newsletter or a report now

  1. Choose the unit under Send from and press Continue, if you may send from more than one.
  2. Under Choose the file, type in Search your Drive, press Search, and press the file.
  3. Choose A newsletter or A report.
  4. Check the lists it goes to under To.
  5. Type the Subject, and a note in A short note above the button (optional) if you like.
  6. Keep Send now under When.
  7. Choose how long Each reader's link works for, and check Download it or Print it for what readers may do.
  8. Press the button that says how many people it goes to.

Then: Each reader gets an email with one button, by a link made for them alone, and the emails go within five minutes. Press See it to open what you sent.

Who: Over your organization's approval size, the line beside the button says so, and somebody else who may send newsletters and reports from that unit approves it before it goes.

Sokha sends the October newsletter from Riverside: chooses October-news.pdf in Drive, checks the Friends list, writes "Our October news" and keeps a year for the links. The button reads Send to 412 people, with Goes at once beside it.

Send it every month on the 1st

  1. Choose the file as for a single send: its folder is where each month's file will come from.
  2. Under When, choose Every month, on the 1st.
  3. Write {month} in the Subject where the month's name goes.
  4. Press Send every month.

Then: On the 1st of each month, from 9 AM your organization's time, the newest new file in that folder goes to your lists. You are told the day before what will go, and can skip a month.

If the file cannot go

  1. Read the line in red above the files.
  2. Search for another file and press it.
  3. Or, with a file already chosen, press Choose another.
  4. Where the line names a folder or a setting, ask an Owner about it.

Know what readers get, and how they stop

  1. Read What they'll get beside the form: the subject, your note, one button, and why they have it.
  2. Read the line under To: a newsletter list holds only people who said yes; a list you made holds people you added yourself.
  3. After sending, open the broadcast's page to see how many links were opened.

Then: Every email has a link to stop these emails, and one to stop everything your organization sends. Once a link has ended, the reader can ask for a fresh one by email.

Rather not? To see who opened it, reader by reader, open Drive › Shared outside.

Only units where you may manage contacts are offered, and only lists at that unit or below it. Files are those you can open in Drive, and Drive must be on for your organization. How long a link may work is your organization's choice in Settings › Communication › Sharing and contacts: 365 days for a newsletter and 90 days for a report unless an Owner chose shorter. Every month, on the 1st is offered where your plan has monthly sends.
