Scheduled sends

Your newsletters and reports that go on a date you chose, or on the 1st of each month with the newest file in a Drive folder: change one, send it now, cancel it, skip a month or pause it.

Change, send now or cancel one on a date

  1. Find it under On a date, and read When: the day and time it goes.
  2. Press Change, choose the New day and time, and press Save.
  3. Or press Send now, then Send now again to send it at once.
  4. Or press Cancel it, then Cancel it again; press Keep it to leave it as it was.

Then: Changed, it goes at the new time, sent as you. Sent now, it goes at once, as you, to its lists as they are now. Canceled, it goes from the list and nothing goes.

Who: Whoever may manage contacts at its unit can change it, send it now or cancel it, not only whoever set it up. Each change is recorded.

See what became of one on a date

  1. Read Already taken, under On a date.
  2. Press the line that says when it was sent, such as Sent Tue, Nov 10, 9:00 AM, to open what went.
  3. Read the reason after Not sent, for one that did not go.

Then: You were told by notification when it went, with how many people it reached, or why it did not go.

Set up a monthly send

  1. Press Send a newsletter or report on Broadcasts.
  2. Choose the unit, the file, the lists and the subject.
  3. Under When, choose Every month, on the 1st.
  4. Press Send every month.

Then: It is listed here, with the folder it sends from, its lists and how many they reach today, and the next 1st.

Skip next month

  1. Find the send and read Next: the coming 1st.
  2. Press the Skip button, which names the month, such as Skip November.

Then: It is marked skipped for that month, nothing goes on that 1st, and it goes again the month after. You are still told the day before that you skipped it.

Rather not? Changed your mind? Press the button that sends on the 1st of that month after all.

The November newsletter is late from the printer, so on October 28 Dara presses Skip November. On October 31 Dara is told November was skipped, and the December newsletter goes on December 1 as usual.

Act on the notice the day before

  1. Put the month's file in its Drive folder before 9 AM on the last day of the month before.
  2. From 9 AM that day, open the notice that names tomorrow's file and how many it reaches.
  3. If it names the wrong file, or this month should not go, press Skip on this page.

Then: On the 1st, the file the notice named goes, at the version it named, and waits for approval over your organization's size like any broadcast. You are told when it went, or why it did not.

Change its words, lists or links

  1. Press Change it.
  2. Change the Subject, the note, the lists under To, or how long Each reader's link works for.
  3. Check or uncheck Readers can download it and Readers can print it.
  4. Press Save.

Then: It is saved, and from now on it sends as you.

Pause it, or stop it for good

  1. Press Pause to stop it for now, and Resume to start it again.
  2. Or press Delete and confirm, to stop it for good.

Then: Paused, nothing goes and nobody is told until you resume it. Deleted, nothing more goes, and what it already sent stays under Broadcasts.

Who: Whoever may manage contacts at its unit can skip, change, pause or delete it, not only whoever set it up. Each change is recorded.

Scheduled sends, on a date and monthly, come with the Pro, Premium and Enterprise plans. You see those at units where you may manage contacts, in your part of the organization. Sends as names who it goes out as, or says the name is withheld from you, and how many it reaches is a count, never a list.
