Scan cards

Clock people in and out as they arrive, by pointing this phone or tablet at their ID card.

Clock people in and out at the door

  1. Choose the unit you are at in the list, and press Scan here.
  2. Press Start scanning at, which names your unit, and let the browser use the camera.
  3. Hold each person's ID card up to the camera. Nothing needs pressing between people.
  4. Read the answer: green is clocked in or out, amber is something to say, red is not recorded, with why.
  5. Press the × at the top when you are done.

Then: Each answer names the person, with their photo where they have one: Clocked in, with whether they are on time where Attendance is on and they work set times, or Clocked out, with the hours worked. Their next scan clocks them out. The last few scans are listed under the camera.

Rather not? For a tablet that stays at the door, add a kiosk under Settings › Time and leave › ID cards and kiosks. If your phone's own camera opened a card's link instead, press Clock them in or out on the card's page.

Who: Whoever approves time at the unit scans there. Each punch records who held the phone, and the shifts go to Approvals like any other.

A training day starts at 9:00 AM. Mary Ann stands at the hall door with a phone, chooses the hall and presses Start scanning. Each person holds up their card and is named on screen in green as they pass. At 4:00 PM the same scan clocks them out.

If it says scanned again too soon

  1. Read the amber line: Already clocked in, or Already clocked out, with the time of the last scan.
  2. Leave it. Nothing was recorded, because a second scan within two minutes would undo the first and cost them a shift.
  3. Scan the card again once two minutes have passed, if they really are leaving.

Then: The same card held up again within 4 seconds is not read twice, so one card held up is one scan.

If a card comes up red

  1. Read the line under the name: it says why nothing was recorded.
  2. Not seated at the unit: scan at the person's own unit, or ask them to clock in on their phone.
  3. Card canceled or expired: ask whoever issues ID cards at your unit for a new one.
  4. Not an ID card: hold up the code on the ID card, not a program pass or a poster.
  5. Not recorded with no connection: scan again once this phone has a signal. A phone in your hand keeps no scans for later; a kiosk does.

The list offers only the units where you approve time, and the page shows only where your organization's plan has ID cards. A phone in your hand asks for no PIN, even where the kiosks at your doors do.
