Sales receipts

Sales paid on the spot — at a stall, the front desk, a room paid on the day — with no invoice and nothing owed: each numbered and in the book as it is recorded, with this month's takings.

Record a sale paid on the spot

  1. Press New sales receipt.
  2. Choose Who bought, or leave it as a sale over the counter.
  3. Give the day it was Paid on, How they paid, and Where the money went: a bank, the cash box or mobile money — or, for cash and checks, Undeposited funds where the unit keeps it, to take to the bank later from Banking › Deposits.
  4. Add the lines, with their tax and discounts, and any program or tags of their own.
  5. Press Record the sale…. It shows exactly what posts to the book.
  6. Press Record it.

Then: It takes the unit's next receipt number, SR- then the unit's letters and the year, and posts on its day: the money account goes up, and each line's income and the tax collected — after any discount — each on the tax return. Where Sales settings name an account for discounts, income takes the full price and that account the discount. Its PDF prints as a receipt.

Rather not? For a customer who will pay later, make an invoice instead.

At the open day, Mary Ann sells six books at $12 and two mugs at $8, paid in cash, and records the sale into the cash box: SR-MA-2026-0014, $88.

Email a receipt

  1. Check Email the receipt to the customer's address as you record it, or open the receipt and press Email the receipt.

Then: The receipt goes as a PDF to the address the customer has on Customers, and nowhere else. One press an hour sends one email.

Northfield Health Trust paid for a room on the day. Grace records it with them as who bought, and checks the box: the receipt reaches their accounts team.

Void a receipt recorded by mistake

  1. Open the receipt from the list.
  2. Press Void…, and say why.

Then: Its entry is reversed, on the record, and the receipt says Void. Where its tax was in a return already filed or paid, the reversal is dated today and goes on the open return, and you are told.

Sokha records the same sale twice, and voids the second, saying it was recorded twice; both stay in the book, one reversed.

Sales receipts lists those of every book you can open. Recording, emailing and voiding need Record money at the unit. They are part of Invoices & receivables. A customer who is a person, kept by a unit that keeps its people's names within it, reads A customer, with nothing of theirs, to anyone not seated there or beneath it, and is found by no search of their name; sales to them are recorded for them from inside that unit.
