Sales
How a unit invoices: its numbers and terms, its reminders, the address and words on every invoice, where customers' replies go, the accounts its invoices post to, and its tax rates; and, where the Sales pipeline is on, the stages every unit's pipeline moves its deals through.
Set the numbers, terms and reminders
- Choose the unit in Settings for, if there are several. Invoices shows what is set now: the next invoice's number, the days it is paid within and when reminders go.
- Press Change how invoices work.
- Change Invoices start with and Credit notes start with if you want other letters. They begin as the unit's own code, as purchase orders do.
- Raise the Next number if invoices were numbered elsewhere before.
- Say the Days after the due date reminders go on: up to 6. Clear Send reminders to send none.
- Press Save the settings.
Then: The next invoice takes the next number; each year starts again at 1. A number is never handed out twice.
Who: Whoever keeps the organization's chart of accounts changes them: the top unit's finance keeper, an Owner or an Admin. Anybody else who reads the unit's book presses See every setting instead, and finds every field shown and none to change.
Meridian's Boston office used INV-MA numbers up to 0141 in another system. Grace sets Next number to 142, and the next invoice is INV-MA-2026-0142.
Choose the accounts invoices post to
- Press Change how invoices work.
- Choose Where invoices wait: an account of what is owed to us. If the chart has none, the page says so at the top, with the button that adds it.
- Choose what lines earn, unless each line says its own.
- Choose Debts written off for write-offs.
- Choose Where card payments land: a bank or clearing account.
- Press Save the settings.
Then: Sent, an invoice posts to these. Card payments on the customer's page land in the last; with none chosen, where the unit's program takings land, and with neither, the page offers bank transfer only.
Grace chooses 1100 Amounts owed to us, 4300 Venue income, 6900 Bad debts and 1050 Card clearing for the Boston office.
Add a tax rate, or retire one
- Press Add a rate at the top of Tax rates.
- Name it and give the rate as a percentage.
- Choose the account what it collects is owed in.
- Press Save the rate.
Then: It is offered on every line of a new invoice at that unit. A rate already charged keeps its figure: to charge another, add the new rate and retire the old one.
Rather not? Press Retire at the end of a rate's row, then Retire it: it is no longer offered on a new invoice's lines, and invoices already charged at it stay as they are. Bring back offers it again.
Boston charges sales tax at 6.25% on equipment hire. Grace adds Sales tax at 6.25%, owed in 2300 Sales tax to pay.
Say where customers' replies go
- Press Change how invoices work.
- Type the unit's finance address in Reply to.
- Press Save the settings.
Then: A customer who answers an invoice, a reminder or a credit note writes to that address. Left empty, their answer goes to the contact email on the unit's web page, and with none, to the sender — never to whoever pressed Send.
Grace types finance@meridian.example: when Northfield replies to a reminder, the Boston finance team reads it, whoever sent it.
Add a stage to the pipeline
- Press Stages on the Pipeline, or open Settings › Money › Sales.
- Under Add a stage, the last row of Deal stages, type its name: Site visit.
- Type the chance, in percent, that a deal there is won.
- Press Add.
Then: It is added after the last open stage, before Won and Lost, on every unit's board at once.
Rename a stage, or change its chance
- Change the stage's name, or its chance in percent.
- Press Save beside it.
Then: Every board says the new name at once, and Likely this quarter counts each deal by the new chance. Each deal's history keeps the names its stages had.
Put the stages in order, or remove one
- Move an open stage earlier or later with its arrows.
- Press Remove at the end of an open stage's row: it asks there, saying what happens.
- Press Remove it, or Keep it to leave it.
Then: The board's columns follow the new order. A removed stage leaves the board; the deals that passed through it keep its name in their history.
Sales is on the Settings menu, under Money, for whoever reads a unit's book and has Settings, and only where your organization has Invoices & receivables switched on. Somebody who only reads the books, such as an Auditor or a board member, has no Settings, and opens this page with Sales settings on Invoices, or Tax rates on Items & prices. Each unit's settings are read by whoever reads that unit's book, and changed by whoever keeps the organization's chart of accounts; anybody else sees every setting, and none to change. The pipeline's stages are read by everybody who works the pipeline, and changed only by the Owner and Admins.
