Running a program

One program your organization runs: what needs you next, its figures, and, in its header, Settings, Share and the door, which every one of its tabs wears.

See what needs you next

  1. Read Next up: what needs you, the most urgent first, worked out from where the program is: setting up, taking bookings, on the day, or afterwards.
  2. Press the button beside a line, such as Add ticket, Assign or Open the door, to deal with it.
  3. Read the figures below it, such as Booked, Tasks and Running order. Each opens the tab it counts.
  4. For a program that repeats, choose the date with the arrows under the header. Every tab follows that choice.

Then: A line leaves Next up once it is dealt with. After its last date, Next up offers Close the program, once follow-up is under way: a closed program stays readable and stops asking for things, and Reopen brings it back.

A new program's Next up says "Add a ticket": registration is on but nothing is on sale. Sokha presses Add ticket, Settings opens on Tickets, and once a ticket is added they press Open booking at the foot of the sheet.

Set it up in Settings, and open booking

  1. Press Settings. A number beside it counts what is stopping anybody booking.
  2. Read the list at the top, which says whether anybody can book yet, and press Fix beside each line that needs it.
  3. Under Details, set its title, dates and where it is held, its picture, and Feature it on Home.
  4. Under Registration, press Turn on registration to take bookings, and choose its places, its booking window, Approve before confirming and Public booking.
  5. Under Tickets, add what is on sale: its tickets and, beneath them, how bookings are paid. Then add Questions, Screening, the Checklist and Messages as it needs them.
  6. Press Open booking.

Then: Booking is open, within its booking window if you set one. With Public booking on, it is on your public page and Share has its link.

Rather not? To start from one you ran before, open that one and press Copy this program: its running order, jobs, planned budget lines, checklist, questions and rooms can come with it, and its people and money never do. To call a program off, open Cancel this program at the foot of Details: canceling tells nobody by itself and refunds nobody, so anybody who has paid is settled one by one, from People.

Move bookings made earlier to the program's route

  1. Press Settings, and open Tickets.
  2. Under How bookings are paid, read the line saying how many bookings made earlier are still told to pay through another route.
  3. Press Move them to the program's route, and confirm it's you.
  4. If some have paid part, a note opens saying how many and how much: read it, then press Move them too or Keep them on the route they were told.

Then: Those moved are told the program's route from then on their booking page, in their reminders and on the card button. Nobody who booked is sent a message: they read it there the next time they look. The move is recorded in the audit log.

Rather not? Choosing another route under Paid through and pressing Save moves bookings made earlier by the same rules, as it saves.

EQUIP 2027, DALLAS took a booking while its unit's donate page was the default, then picked its own route, EQUIP DALLAS 2027. Under How bookings are paid the line says 1 booking made earlier is still told to pay through Payment page. Grace presses Move it to EQUIP DALLAS 2027, and the booker's page shows the program's own account from then on.

Share it

  1. Press Share.
  2. Press Copy link to send the public booking page, or hold up the QR code beside it.
  3. Press Poster for something to print and pin up.

Then: Anyone with the link can book.

Rather not? On the Overview, Make a poster opens its poster in four shapes, to download.

Hold it online, and let guests in

  1. Under Details, in Where, choose ORG-APP's Inbuilt Meeting Room, or paste a Zoom, Google Meet or Teams address as its Meeting link.
  2. Open Guests from outside to invite people with no account: One person or Several at once, one person a line, then Invite a guest.
  3. For a webinar, press Make a shared link and post it where your guests will see it.
  4. In the call, open Host controls to let people in with Admit, Allow video for a guest, Let them share a screen, or Record to this computer.

Then: Everybody who can see the program gets a Join button on its page. Each guest has a personal link of their own, emailed or shown once for you to copy, which opens half an hour before the call and stops when it ends, or up to 30 minutes later while the call runs over; up to 25 at a time. Whoever schedules the call hosts it, with up to 2 co-hosts.

Rather not? Press Revoke to stop a personal link sooner. For the shared link, Make a new one stops the old one, and Turn it off stops it for good.

Mary Ann runs an online workshop for three partner organizations. They paste six speakers' names and emails under Several at once, and each gets a link that names them. For everybody else they make one shared link and put it in the newsletter; on the night people wait in the lobby, and Mary Ann admits them.

Link it with another program

  1. Under Details in Settings, press Link programs.
  2. Choose which way the people go: Our people serve there or Their people serve here.
  3. Find and choose the programs, and what the link shares: crew, the running order, files on lines, and one notice for people on both.
  4. Press the button at the foot, which says how many link at once and how many are asked.

Then: A program you also manage links at once. For the others, their organizers are asked, and Accept or Decline from their program's Overview. Bookings, money and forms stay with each program.

Rather not? Either side can switch a share off, or press End the link, at any time. Switching a share back on needs the other side's yes.

Grace's region sends a team to serve at a partner unit's youth convention. Grace links the region's outreach program to the convention with Our people serve there and Crew on; the convention's organizer accepts, and the team can be put on its crew without being entered twice.

You can open a program announced to your part of the organization, through a seat that holds See events: without it at any unit, as for an Auditor or an IT admin, the page says Programs are not part of your seat. Running it belongs to the unit that holds it, so its Settings, Planning and Afterwards are for whoever runs it there; somebody who keeps its money without running it, such as a Finance officer, has Money; and somebody only on the door has Open the door. A seat that only reads books no place and takes no line. Each tab has its own help.
