Repeating invoices

Invoices that go out on a rhythm — a hall hired every month, a membership every year — set up once and made on their day, as a draft or sent by themselves, with what each one made.

Set up a repeating invoice

  1. On Invoices, press Repeating, then New repeating invoice — or open an invoice and choose Make it repeat to start from its customer and lines.
  2. Name it, and choose the Customer.
  3. Say how often under Every — weeks, months, quarters or years — and the First invoice on day: today or later.
  4. Choose Until: until you stop it, a last day, or a number of invoices.
  5. Choose whether Each invoice is made as a draft or sent by itself, and whether reminders go when one is late.
  6. Add its lines, with their tax, discounts, and any program or tags of their own, and press Start it.

Then: Each invoice is made on its day by the hourly run, once: dated that day, due after the days you gave, with the template's lines. Made as a draft, it waits on Invoices for you to send. Sent by itself, it goes as Send does — numbered, posted, emailed with its PDF and pay link. A month's day is kept where the month has it, else its last day: the 31st is Feb 28, then Mar 31.

Grace sets Lakeside Community College's hall hire to repeat every month from the 1st, sent by itself, for 12 invoices. On the 1st of each month the invoice reaches their accounts team before nine.

Pause, resume, change or stop one

  1. Open it from the list.
  2. Press Pause to make nothing for a while, and Resume to start again.
  3. Press Change to change its lines, its last day or count, how each is made, or its reminders.
  4. Press Stop… to end it for good.

Then: Resumed, it goes on from the first day on or after today: the days that passed while it was paused are not made late. Stopped, it makes nothing more; the invoices it made stay. Once it has made an invoice, its customer, first day and rhythm stay as they are — a new rhythm is a new repeating invoice.

The college closes for August. Grace pauses their hall hire in July and resumes it in September: no August invoice is made.

If an invoice was not made, or not sent

  1. Open the repeating invoice: What it made lists each day, the invoice and how it went.
  2. For Made, not sent, open the invoice: it waits as a draft. Fix what the reason says, then send it from Invoices.
  3. For Not made, fix what the reason says — a retired customer, an account or tax rate no longer in use — and make that invoice by hand if it is still owed.

Then: Whoever records money at its unit is told in the bell, once, with the reason. The next day on its rhythm is made as usual.

An invoice for Summit Foods Co. is not sent because their email address was taken off. Sophea is told, adds their new address, and sends the waiting draft.

Repeating invoices lists those of every book you can open. Setting one up, changing, pausing, resuming and stopping need Record money at its unit. They are part of Invoices & receivables. A customer who is a person, kept by a unit that keeps its people's names within it, reads A customer, with nothing of theirs, to anyone not seated there or beneath it, and is found by no search of their name; their repeating invoices are set up and changed for them from inside that unit.
