Reconcile
Each month of an account, in order, checked against the bank's closing balance, or a cash box counted at the month's end.
Reconcile a month
- Choose the account at the top.
- For the account's first month, choose where to begin under Begin reconciling with, if offered.
- For the first month, type the bank's balance on the day before it, from the statement. After that, each month starts where the last one ended.
- Type the statement's closing balance for the month's last day, or check the one read from the file.
- Read Difference: it must be zero.
- Press Finish reconciling.
Then: The month shows under Months reconciled, with the day and who finished it, and the month's sign-off on Periods shows the bank as reconciled. Nothing is posted: reconciling records that the book and the bank agreed.
Who: Whoever has Record money at the unit finishes it.
September's statement for the Riverside account closes at 16,206.05, and the book's checked-off lines come to the same, so Difference is zero. Check 0117 for 225.50 is not on the statement yet, which is why the book says 15,980.55. Ana presses Finish reconciling on October 1.
If Finish reconciling is grayed out
- Read the line under Difference: lines still to review are counted there, with a link to For review.
- Match or add those lines on For review.
- Check the closing balance you typed against the statement.
- Read Not on the statement yet: what the book has to the month's end that the bank has not cleared, such as a check.
- If the statements uploaded stop before the month's end, upload the rest of the month.
Then: Finish reconciling can be pressed once no line of the month waits and Difference is zero.
Count a cash box
- Choose the cash account at the top.
- Count the notes and coins in the box at the month's end.
- Type the total in the Counted on box.
- If it differs from the book, choose the account under The extra goes to or The shortfall goes to.
- Choose the Fund for the difference: it shows only when the count differs from the book.
- Press Finish the count.
Then: The month shows under Months counted. A difference is posted as an entry of its own, the box against the income or spending account you chose, dated the month's last day, or in the month that is open when that one is closed.
On June 30 the Hillside Center youth cash box holds 48.00 and the book says 50.00. Lee counts it, chooses Cash short under The shortfall goes to, and finishes the count: an entry of 2.00 short is in the book, on the record.
Undo the last month
- Find the latest month under Months reconciled, or Months counted for a cash box.
- Press Undo beside it.
- Say why: a line was matched to the wrong gift.
- Press Undo it.
Then: The month can be reconciled again, and its lines can be undone on For review. A count's difference entry is reversed, on the record.
Reconcile shows one unit's accounts at a time, among the units where you have See the books. Finishing a month, counting a box and undoing a month need Record money at that unit: the Owner, Admins, Unit coordinators and Finance officers. Banking is part of the Finance book, where your organization's plan has it.
