Quotes
What each unit has offered its customers, at what price and until when — and what they said: drafts, waiting for an answer, accepted, declined, run out and invoiced. A quote posts nothing to the book.
Make a quote and send it
- Press New quote.
- Choose the Customer, or choose + A new customer… and type their name and email address.
- Check the Quote date and the day it is Good until: thirty days unless you change it.
- Pick each line from Items & prices, or type what it is for, how many and the price. Choose its tax, and a discount if there is one — a percent or an amount. A line may name its own program and tags; they go onto its invoice.
- Type a Discount on the whole if the whole quote has one: it is shared over the lines before tax.
- Press Send…. It says exactly who receives it.
- Press the button that sends it to their address, or Number it, no email to hand it over yourself.
Then: It takes the unit's next quote number, Q- then the unit's letters and the year. The customer gets the quote as a PDF and a link of their own, where they accept it — typing their name — or decline it. You are told in the bell when they answer, and the quote says Seen once they open it. Nothing is posted to the book.
Rather not? Not ready? Press Save: a draft has no number until it is first sent.
Grace quotes Harbor & Pine Group for a day in the hall: the hall at $1,200 and lunch for 40 at $14.50, 10% off the whole, good for thirty days. Grace sends it to their buyer, who opens it that afternoon.
Change a quote after it was sent
- Open the quote from the list.
- Press Change, correct what is wrong, and press Save.
- Press Send the new version and send it again.
Then: A quote changed after it was sent becomes a new version: the link the customer has stops opening, so nobody says yes to a price you no longer offer, and the list says Changed: send again until you do. It keeps its number. A declined or run-out quote is changed and sent again the same way.
Harbor & Pine ask for 50 lunches, not 40. Grace changes the line and sends the new version; the first email's link now says it has ended.
When the customer answers — or answers another way
- Open the quote. What happened shows who accepted it, when, and the network it came from — or that it was declined, and why if they said.
- If they told you on paper, by phone or by email, press More and choose Record their answer….
- Choose whether they accepted it or declined it; for a yes, type the name of whoever accepted it for them. Press Record it.
Then: The answer is to the version they were sent. A quote nobody answers by its last day runs out by itself, and its link stops opening.
Rather not? Their own page keeps their answer in their own words: send the quote by email where you can.
Kestrel Logistics' manager rings to say yes. Sophea records it as accepted by Dara Sok; the quote says Accepted, recorded by hand.
Make the invoice from an accepted quote
- Open the accepted quote, or choose Accepted, to invoice above the list.
- Press Make the invoice.
- Check the draft invoice it opens, and send it from Invoices.
Then: The draft invoice carries the quote's own lines, taxes and discounts, so it comes to the very total the customer accepted, and the quote says Invoiced. It is made once: the quote then offers Open the invoice. Thrown away as a draft, the quote is accepted again and can be made into an invoice again.
Harbor & Pine accept on Monday. Grace presses Make the invoice, checks the draft — $1,710 less 10%, plus tax — and sends it.
Quote from a deal on the pipeline
- Open the deal on Sales › Pipeline.
- Under Quotes, press Make a quote.
- Check the draft — one line at the deal's worth — add lines if you like, and send it.
Then: The quote is listed on the deal. When the deal is won and its quote accepted, Make the invoice on the deal invoices from the quote's lines.
Daniel's deal with Northfield Health Trust reaches Proposal sent. Daniel makes a quote from it and sends it; Northfield accept, Daniel marks the deal won, and Grace makes the invoice from it.
Quotes lists the quotes of every book you can open: the units where you have See the books. Making, sending, changing, recording an answer and making the invoice need Record money at the quote's unit. Quotes are part of Invoices & receivables, which an Owner or an Admin switches on in Settings › Features › Modules. A customer who is a person, kept by a unit that keeps its people's names within it, reads A customer, with nothing of theirs, to anyone not seated there or beneath it, and is found by no search of their name; they are quoted for them from inside that unit.
