Pulse surveys
A few anonymous questions asked again and again, every week, every two weeks or every month, to see how people are, with each round's results in groups of 5.
Start a pulse
- Build the survey in Forms first: anonymous, kept at the unit it asks, every question required, and left a draft. Press Build the survey in Forms.
- Come back to Pulse surveys and type its Name.
- Choose the unit under At.
- Choose the survey under Its questions.
- Choose How often.
- Set Open for (days).
- Choose the day of the First round.
- Press Start the pulse.
Then: It shows as Running. On each round's day the survey is copied into a new anonymous form of the unit, asked of the survey's own people for the days you chose, and closed after them. The next round follows by how often.
Who: HR at the unit who also runs forms there starts it. The people the survey asks answer each round from Home and Forms.
Grace starts a pulse at Riverside with three questions, every two weeks, open for 5 days. The first round opens on Monday, and the next two weeks later.
Read a round's results
- Find the pulse's card: its rounds, newest first, with their days.
- Read Responses shown for each round.
- Read the average of 1 to 5 for each rating question.
- Press Results to read the round's answers on its own form.
Then: A round shows Fewer than 5 until 5 have answered, then whole groups of 5. An average takes in whole groups of 5 answers only, so the last 3 to 4 shown when a round closes are counted but not averaged.
Who: Only HR reads a round's results: HR at the unit who also runs forms there, the Owner and Admins. A Unit coordinator, a Unit lead or a Program manager who runs the unit's other forms does not see its rounds in Forms, cannot open them, and their downloads and the organization's copy carry none.
Riverside's last round shows 10 responses, and its question “How manageable was your workload?” averages 3.4 of 5 across them.
Pause, resume or end a pulse
- Find the pulse's card.
- Press Pause to stop new rounds for now, Resume to start them again, or End it to stop for good.
Then: A round already open runs to its close. Resumed, the next round opens today at the earliest, never a backlog of missed rounds. Ended, it asks no more.
If a pulse paused by itself
- Open its survey in Forms.
- Put back what changed: anonymous, kept at the pulse's unit, off a public link, every question required, at most 10 questions on one page.
- Come back and press Resume.
Then: The next round opens today at the earliest.
If a round shows no results
- Read Responses shown: Fewer than 5 means fewer than 5 people have answered so far.
- Wait for the round to close.
Then: When it closes, a last group of 3 to 4 shows, as long as 5 or more answered in all. One or two left over stay out for good, and a round closed with fewer than 5 answers shows nothing: so few could be told apart.
Pulses are run by HR at a unit where they also hold Run forms: the HR administrator, the Owner and Admins. Each round's results are a form of the unit that only they open in Forms: a Unit coordinator, a Unit lead or a Program manager who runs the unit's other forms is not shown its rounds. Everybody else is told where a pulse is answered: on Home and in Forms, while a round is open for them. A support visit starts, pauses and ends none. Pulses exist only where your organization's plan has Performance & engagement.
