Positions
Where several people share a role at one unit, a named position for each, so each reviews only the people who report to it.
Make a position
- Press New position.
- Choose the Unit.
- Choose the Role it is a place for. Only the roles somebody is seated in there are offered.
- Type a Name that tells it from the others in that role, such as North zone.
- Choose who it is Held by, or leave Nobody yet.
- Leave Can see timesheets and reports from before they start checked, or uncheck it where the earlier records are sensitive.
- Press Make it. Given a holder, it asks you to confirm it's you.
Then: It is listed under its unit by its role and name, such as Unit lead · North zone. Nobody reports to it until you choose who does.
Choose who reports to a position
- Press Who reports on the position.
- Check the people at the unit and beneath it who report to it. A line under a name says if they report to another position now.
- Uncheck anybody who should be reviewed as their role says again.
- Press Save, and confirm it's you when asked.
Then: Its holder approves their shifts and reads their reports, and the others in that role there no longer review them. Anybody who reports to no position is reviewed as before, by whoever holds the role nearest their unit.
Rather not? Only the first 300 people are listed: anybody else can be given the position on their own page, under what they submit.
Riverside has two Unit leads: Grace holds Unit lead · East side and Daniel holds Unit lead · West side. Each side's people are checked under Who reports, so a shift worked on the east side goes to Grace alone.
Hand a position to somebody new
- Seat the new person at the unit in the position's role first, on their page.
- Press Hand over on the position.
- Choose the new holder under To.
- Decide Can see timesheets and reports from before they start.
- Press Hand over, and confirm it's you when asked.
Then: The people who report to it stay with it, and their waiting work is the new holder's from now. What the last holder decided stays in their name, and any notice that nobody holds it is cleared.
Grace leaves Riverside, so East side reads nobody holds it and its people's shifts go to the level above. Mary Ann is seated there as a Unit lead and handed East side with earlier records off: Mary Ann sees what is still waiting, and everything from that day on.
If a position says nobody holds it
- Read the line under it: where its people's shifts and reports go meanwhile.
- Press Cover to name another position, at this unit or above, whose holder takes them, press Save, and confirm it's you when asked.
- Press Hand over once somebody takes on the role.
Then: Until it is handed over, its people's work goes to the cover's holder, or to the level above without one. While anybody reports to it, whoever manages people nearest it, and the Owners, have one quiet notice, refreshed each night, that goes once it is handed over or archived.
Rename or archive a position
- Press Rename, type its new Name, and press Rename.
- Or press Archive, then Archive in the sheet, and confirm it's you when asked.
Then: Archived, its people are reviewed as their role says again, any position it covered falls back to the level above, and who held it stays on record. Its name stays taken.
You see the positions at your own units and those beneath them, and change them only where you manage people: the Owner, Organization admins, IT admins and the unit's Unit coordinators. The Positions tab shows only for somebody who manages people somewhere. A holder whose name is kept within their unit reads Name withheld.
