Planning

The jobs to do before a program, the lines of its running order still needing somebody, and the speakers, places and things booked for it from Resources.

Add a job and give it to somebody

  1. Type the job under New job.
  2. Choose who does it under Assign to, and when it is Due.
  3. Press Add.
  4. Check a job off when it is done.

Then: Whoever it is given to has it on their To do and on the program's Overview. A job past its date counts as overdue on the Planning tab and in Next up.

Rather not? Open a job to change its detail or who has it, or press Delete this job, then Delete it.

Offer a job to the crew

  1. Open a job nobody has taken.
  2. Check Offer to the crew.
  3. Check Only with my yes if you want to choose who does it.

Then: Crew members see it on their Programs page. Without your yes, the first on the crew to take it has it; with it, anybody on the crew can ask, and you choose.

Nobody has taken "Book the minibus" for the camp. Grace offers it to the crew with Only with my yes checked; two volunteers ask, and Grace chooses the one with a license.

Book a speaker, a place or things for it

  1. Under Resources, press Find in Resources.
  2. Choose what you need and book it for this program: whatever you book comes back here.
  3. Read each booking: who keeps it, its days and lines, where it stands, and what it costs.
  4. Open Set cost beside a booking to record what it was planned to cost and what it came to, and press Save cost.

Then: A person booked joins the Crew in the role you chose once the booking is agreed, and leads the lines you booked them for that nobody leads yet. Somebody from outside joins as a Guest, with no account, and gets their part of the run sheet by email. A booked venue offers, on the Overview, to be the program's place; it changes only if you accept.

Rather not? Press Call off to cancel a booking: its keepers are told, and it takes back only what the booking gave the Crew and its lines.

Keep a bigger plan as a project

  1. Under Projects for this program, press Start a project for it.
  2. Give it its columns and tasks on Projects.

Then: The project is listed here for everybody who may see it.

Planning is for whoever runs the program; it is not offered to anybody else. Costs on Resources bookings show only to whoever keeps the program's money.
