Pipeline
Work you hope to win, from first talk to a signed yes: every deal on a board of stages, what it is worth and likely to bring in, and its invoice made the day it is won.
Add a deal
- Press New deal.
- Choose Who it is with, or + A new customer… and type their name.
- Say What it is for: First aid for drivers at 3 depots.
- Give What it is worth, your best guess; leave it empty if nobody knows yet.
- Choose Whose it is: you, or somebody else who works deals at the unit.
- Give the day it is Expected to close, and its Next step, with the day On it is planned.
- Press Add the deal.
Then: It starts in the first open stage, unless you chose another, and counts in Open and, closing this quarter, in Likely this quarter: its value times its stage's chance.
Daniel meets Kestrel Logistics about first aid for drivers at three depots, and adds the deal at $9,500 in First talk, closing in December, with Call to agree a date on Monday as its next step.
Move a deal on
- Drag its card to the next column on the board.
- Or open the deal, choose a stage under Move to, and press Move.
- Plan what happens next: open the deal, change its Next step and the day On it is, and press Save.
Then: The card moves, the columns' totals change, and the move is kept in the deal's Stage history with who moved it and when.
Rather not? On a phone, the board is a list of stages: open a deal to move it.
Mark a deal won or lost
- Open the deal.
- Press Mark won when they say yes.
- Press Mark lost when it is not coming, choose the main reason under Why was it lost?, add a few words, and press Mark lost.
Then: Won, it counts in Won this month, and whoever keeps the unit's books is told it is ready for its invoice when you cannot make it yourself. Lost, its reason is kept with it, so over a year you can see why deals are lost.
Rather not? Dragged to the Lost column on the board, it asks why first, the same way. A lost or won deal can be opened again with Move to.
Make the invoice from a won deal
- Press Make the invoice → on the won deal's card, or open the deal and press Make the invoice.
- Check the draft that opens on Invoices, and send it from there.
- For a deal billed in parts, open it and press Make another invoice.
Then: A draft invoice is made for the deal's customer at its unit, dated today and due after the customer's terms, with one line at the deal's value. The deal says Invoiced.
See the deals that need a next step
- Press the Needs a next step tile above the board.
- Open each deal and plan its next step.
- Press the tile again to see every deal.
Then: A card's next step turns amber once nothing is planned, and red after 14 days; the tile counts the red ones. Once a week, each owner is told in their notifications, among their tasks, how many of theirs need a next step, and the notice clears once each is planned.
You see the deals at the units where you have See the sales pipeline or Work deals: each unit sees its own, and head office sees them all. Owning a deal does not open it on its own: an owner moved to another unit, or whose role no longer has those keys, no longer sees it. A Board member and a Finance officer read the pipeline; a Unit coordinator works it; the Owner and Admins do both. An owner whose unit keeps its people's names within it reads “Not named to you” above it. The pipeline is part of the Sales pipeline module, which an Owner or an Admin switches on in Settings › Features › Modules, with Invoices & receivables.
