Periods

One unit's year, month by month: each month's sign-off, the balances its book opened with, when its year starts, and closing a year.

Submit a month for approval

  1. Choose the month in the row of months.
  2. Check its tiles: income, spending, net, and how many banks are reconciled or counted.
  3. Press Submit for approval.
  4. If a bank is not reconciled, say why the month goes now and press Submit anyway, or reconcile it on Banking first.

Then: The month reads Submitted and takes no more entries. The nearest people who hold Approve money at the unit or above it, never you, are told it is ready to approve, with what you said about the bank.

Who: Whoever keeps the book submits and later publishes; somebody else approves.

Ana keeps the Riverside center's book. On October 31 the bank's October statement has not come, so the Banks tile reads 0 of 1. Ana presses Submit for approval, writes “The statement comes on the 5th”, and presses Submit anyway; Mary Ann, on the board, is told October is ready to approve and reads why.

Approve a month, or send it back

  1. Open the notice, or choose the month on Periods.
  2. Read the figures, the banks, and anything said about a bank not reconciled.
  3. Press Approve.
  4. To send it back instead, press Send back, say why, and press Send it back.

Then: Approved, whoever submitted it is told it is ready to publish; the unit above still sees nothing. Sent back, it is Open again and takes entries, any approval on it is cleared, and whoever submitted it is told why.

Who: Approve money approves: Board members, the Owner and Admins hold it. Send back is offered to whoever holds Record money at the unit, the treasurer included, on a month submitted or approved, and to whoever holds Approve money on a month still waiting for approval. Once a month is approved, a board member who holds only Approve money asks the treasurer to send it back.

Publish an approved month

  1. Choose the approved month.
  2. Press Publish.
  3. Press Publish again to confirm.

Then: The month reads Published. Its income and spending are kept as they stood, and the unit above sees them on Across units; at the top unit, which has nothing above it, publishing fixes the month's figures. It can never be sent back: a correction later is a reversal, and the unit above sees the month marked restated when it changes the month's income or spending.

Set the opening balances, and when the year starts

  1. Under The year, choose the month in The year starts in.
  2. Press Save.
  3. Press Set opening balances, or Set them again.
  4. Give the day under As at: the day before the books start here.
  5. Type what the unit owned and owed in each account on that day; a minus sign opens an account the other way, as an overdraft.
  6. Type what each restricted fund held.
  7. Read the unrestricted amount worked out below them.
  8. Press Post the opening balances.

Then: They are posted as one entry, dated that day, and every balance sheet from then on starts from them. Set again, the first is reversed and the new one posted, and both stay in the book. Reports and the year's close follow the year start from then on; a unit that has not chosen follows the unit above it, or January.

The center starts using the app on January 1. On December 31 its bank held 15,980.00, it owed 600.00, and the camp fund held 4,140.00. Daniel sets those as at December 31, and the rest, 11,240.00, is worked out as unrestricted.

Close a year, or reopen it

  1. Open the year: press the arrow with last year's name, beside the year's heading.
  2. Read The year: it says what is missing before the year can close, if anything.
  3. Press Close and the year's name, such as Close 2025.
  4. Press it again in the box to confirm.

Then: The year is locked: nothing dated in it is posted or reversed again, and a correction found later goes into the open year, where it reads as one. Nothing is posted to close it: its result is part of the fund balances.

Rather not? Whoever holds Approve money presses Reopen and the year's name, says why, and presses Reopen: its months stay published, a reversal can be posted into it again, and the audit log keeps the reason.

Who: Whoever holds Record money at the unit closes a year; reopening one is the board's, with Approve money.

Periods shows one unit's book at a time, where you hold See the books. Submitting, publishing, sending back, the opening balances, the year start and closing a year need Record money at the unit; approving a month, sending back a month still waiting for approval, and reopening a year need Approve money. The Owner and Admins hold both, and still cannot approve a month they submitted.
