People
Everybody on a program for the date in view: the people coming, the crew running it, what they told you when they booked, and the door on the day.
See who is coming, and decide on applicants
- Press Participants, then a filter: Going, Awaiting decision, Unpaid, Waitlist, Invited by name and the rest.
- Search by name, or press a booking to open it beside the list.
- For somebody under Awaiting decision, read their screening and answers, then press Approve or Decline, with a note.
- Leave Email them the outcome checked to tell them.
Then: While the box is checked, they are emailed the outcome, with your note.
Rather not? Press Add a booking to book somebody yourself, Invite to ask members by name, or Offer freed places to offer places to the waitlist when some free up. In a booking opened beside the list, each adult the booking gave an account has, under their place, Send their sign-in invitation while they have not set it up, Add a photo, and Add to Resources to keep them as a member your unit can book. Where the person who made the booking is on none of its places by their email or their name, as an imported Booked by may not be, and their record says they are an adult, their account is shown under the places, as theirs.
Three applicants are waiting for the youth camp. People shows them under Awaiting decision; Dara opens each, reads their screening, approves two and declines one with a note, and each is emailed the outcome.
Check people in on the day
- Press Open the door in the header, or Door on People.
- Choose what you are counting: arrival, a day, or one session.
- Press Scan passes and hold each pass to the camera: nothing to press between people.
- Or type a name or booking code under Find somebody and tap the person's row.
- For somebody who has not booked, press Add a walk-in, fill it in, and press Add and check in.
Then: Each arrival is counted at once, with the time on the program's clock. Tap the row again to undo it.
Rather not? Print name cards first with Name cards: each has its check-in pass as a code to scan.
Put the crew together
- Press Crew.
- Press Add crew, find the people and choose their role, or + Add a role… for one of your own, such as Photographer.
- Press Give a job on somebody's row to give them a job from there.
- Check On the door for whoever checks people in on the date.
Then: Crew see the running order and the jobs given to them. A job given from a row is on that person's Overview and their To do.
Rather not? To take somebody off, press Withdraw. Nothing is deleted: their row stays, marked withdrawn, so the record still shows they were asked.
Bring in sign-ups, or download who is coming
- Press Import bookings, download the template, fill in one row a person, and choose the filled-in file. Rows with the same email are one booking, and one file holds at most 20 bookings.
- Check Email each person their booking and a link to set up their account if they should hear from you. It is off unless you check it.
- Press Download for the list in Excel or CSV.
- Press Answers to see what people told you when they booked, counted question by question.
Then: Each imported booking is made as one on the booking page is: the window, the places, the waitlist, age limits and approval all apply. A confirmed booking gives the person who made it an account when their own place is found, by the email on their row first and then by their name, and they are not under 18; somebody on no place, such as a parent booking their children, is given none unless their record says they are an adult. With the box checked, each person is emailed their booking, with a link to set up that account; unchecked, nobody is emailed. The download holds the bookings and every place, never the sensitive answers or dates of birth: open a booking to see those, and each look is recorded.
Put people on follow-up, invite them to sign in, or message everyone booked
- Check the people you want in the list.
- Press Put on follow-up in the bar at the foot. A booking goes on as the person who made it.
- Or press Send sign-in invitations in the same bar, to invite the people on those bookings who have not set up their account.
- For bookings you imported, press Send sign-in invitations above the list, then Send them, to invite everybody on them who was never invited.
- Or press Message everyone booked to write to every booking at once.
Then: People put on follow-up are on the follow-up queue. An invitation is one email to each person's own address: the person who booked gets their booking with a link to set up their account, and anybody else on it their place and the same kind of link. Each booking's row then says Invited, with the day, and Signed in once they have set it up. A message goes by email to each address the bookings hold, once each, and to the bell of those with an account; somebody under 18 is reached through the person who booked them.
Everybody the program is shown to may open People, but somebody who does not run it sees their own reply and who is running it, never the people coming. Bookings and walk-ins are for whoever holds Run bookings and rosters at the program's unit, and what people paid only for whoever keeps its money. A name reads Name withheld where that person's unit keeps names within it.
