Payroll tax

What a unit's pay runs owe the tax office — the income tax they withheld, and the deductions they hold to pay over — period by period: what is owed, what was paid over, and what is outstanding, with the day each is due. It says whether the outstanding total is what the payroll liability accounts hold. Nothing here is filed with any government.

Read what is owed and when it is due

  1. Open Reports, and press Payroll tax in the list of reports.
  2. Read the tiles: Outstanding, Overdue and Next due.
  3. Read each payroll liability: its periods, what each owes, what was paid and what is outstanding, and the day each is due.
  4. Read the line under the tiles: it says Reconciles when what is outstanding is what the accounts hold.

Then: A period is owed what the unit's posted pay runs credited the account in it. Excel, CSV and PDF download exactly what is on screen.

Who: Whoever reads the unit's book reads it, where the organization's plan has Pay runs.

Riverside's October run withheld 1,300.00 of tax. Payroll tax shows October 2026 on Tax payable: owed 1,300.00, paid 0.00, outstanding 1,300.00, due November 15.

Pay the tax office

  1. Pay the tax office from your bank, as you always do.
  2. Beside the period you paid, press Pay the tax office.
  3. Check the Amount, as the bank's statement says it: at most what is outstanding.
  4. Choose where it was Paid from and the day, On, and give The tax office's reference if it has one.
  5. Press Record it.

Then: One balanced entry takes it off the liability and out of the bank, on the day paid (in the open month, if that one is closed), tagged with the period. The period's outstanding falls by it.

Rather not? To take back one recorded by mistake, press Undo beside it and say why: its entry is reversed, on the record, and what it paid is outstanding again.

Who: Whoever keeps the unit's book (Record money there).

Fiona pays the revenue office 1,300.00 on November 12 for October, then presses Pay the tax office beside October 2026, keeps 1,300.00, chooses the operating account and presses Record it: October's outstanding is 0.00.

Set when a payroll liability is due

  1. Beside the liability, press Set when it is due, or Change when it is due.
  2. Say who it is Paid to.
  3. Choose How often: every month, or every quarter.
  4. Give the day of the following month it is due by, and press Save.

Then: Each period shows its due day, and a late one says so. Whoever keeps each unit's book is reminded once, a week before a period with something outstanding is due.

Who: Whoever keeps the organization's books at its top: the chart, and its liabilities, are the organization's.

Payroll tax shows where your organization's plan has Pay runs. Reading it needs See the books at the unit; paying and undoing need Record money there; when each is due is set at the organization's top. Nothing here names a person or shows anyone's pay: only what each liability owes.
