Pay tables

Your organization's own income-tax bands and statutory deductions, allowances and benefits, how overtime is paid, the raise limit, and where pay posts in the book.

Add a tax table version

  1. Choose the Unit and press Show, if you keep more than one.
  2. Open Tax tables.
  3. Give the day in Takes effect from.
  4. Choose whether The bands are for a year's income or a month's.
  5. For each band, type its Band name, From, To (blank: no top) and Rate, %.
  6. For each statutory deduction, give its Name, How it is worked out, the Rate % or amount, what it is Of, the Most a period and the Staff pay, %.
  7. Say where the rates come from in A note (where the rates come from).
  8. Press Add the version.

Then: Runs at the unit, and at units below it with no table of their own, read the version in force on their pay day. Every change is recorded with its rates, and each run's approver sees what changed since the run before.

Rather not? To change a version no approved run used, press its date beside To change a version no approved run used, change it, and press Save this version.

Who: HR who sets pay at the unit keeps its tables. Whoever adds or changes a version prepares every run worked out with it, so never approves one.

Northfield keeps one table at the top from January 1, 2026, on a month's income: 10% to 2,500, 20% to 5,000 and 22% above, and a statutory pension of 5% of basic pay. Its unit in another country keeps a table of its own.

Add an allowance or a benefit

  1. Open Allowances & benefits.
  2. Give its Name and choose its Kind.
  3. Choose An amount or a percentage, and type the Amount or %.
  4. For a percentage, choose A percentage of basic or gross pay.
  5. Choose How often and Who pays; for a shared cost, the Staff pay, % (shared).
  6. Add Most a period and Months of service first, if they apply.
  7. Check Employees or Interns to keep it to them, or neither for everybody paid.
  8. Press Add the plan.

Then: It is kept at the unit, for people there and below, in the unit's currency. Allowances add to pay; deductions, insurance, pensions and loans are taken from it, with the organization's share paid on top where it pays one.

Rather not? Press Archive to stop a plan: every enrollment on it ends that day.

Who: HR who sets pay at the unit. Each plan added, changed or archived is recorded, and the run's approver sees that a plan changed.

Enroll somebody in a plan

  1. Open Allowances & benefits.
  2. Under Enroll somebody, choose the Person and the Plan.
  3. Give the day it starts in From, and To (optional) if it ends.
  4. Type their own amount, if it differs from the plan's.
  5. For a loan, type A loan: amount lent.
  6. Press Enroll them.

Then: From the day it starts, the next run that pays them adds it or takes it. A loan is taken each period until it is repaid.

Who: HR who sets pay where the person works. Whoever enrolls somebody prepares the next run that pays them, so never approves it.

Set how overtime is paid, and the raise limit

  1. Open Settings.
  2. Type Overtime is paid at (×): 1.5 for time and a half.
  3. Choose whether Salaried staff Are paid approved overtime or Are not paid overtime.
  4. Press Save.
  5. As an Owner, type the limit in A month's raise past which a second person says yes, or leave it blank.
  6. Press Save the limit.

Then: Every run worked out after reads the new overtime. A raise of more than the limit a month, counted with every rise since a second person last saw that pay, waits in Changes waiting for a second person's yes.

Who: How overtime is paid: HR at the top of the organization, or an Owner; whoever sets it prepares the runs worked out after, so never approves them. The raise limit: an Owner alone.

The Owner of Northfield sets the limit at 200 a month. Daniel in HR saves a raise under the limit on somebody's pay record, and it applies at once. A week later, before a second person has seen that pay, Daniel saves another raise for the same person: together the two pass the limit, so the second waits in Changes waiting for a second person's yes.

Choose where pay posts in the book

  1. Open Posting to the book.
  2. Choose Salaries and wages (expense).
  3. Choose Employer costs (expense), or leave it to the wages account.
  4. Choose Tax payable (liability) and Deductions payable (liability).
  5. Choose the bank under Net pay leaves from (a bank).
  6. Press Save where pay posts.

Then: When the unit's run is marked paid, one balanced entry goes into its book, once: wages and employer costs debited; tax, deductions and the net pay credited.

Who: Whoever holds Record money at the unit, who keeps its book.

Unit lists the units where you are HR who sets pay, or hold Record money. Tax tables, allowances and enrolling are for HR who sets pay at the unit; how overtime is paid, for HR at the top of the organization or an Owner; the raise limit, for an Owner alone; posting, for whoever holds Record money at the unit. Anybody else reads what is set. Pay tables shows where your organization's plan has Pay runs, and its tab to whoever holds Read pay or Record money.
