Pay runs

Every pay run you have a part in, the ones waiting for your approval first, and where HR starts a run for a unit's pay period.

Start a pay run

  1. Under Start a pay run, choose the Unit.
  2. Choose the Pay period: The period that ended last, or The period running now.
  3. Give the Pay day.
  4. Press Start the run.

Then: The run opens as a draft with its lines already worked out: base pay from each person's pay record, less the days a starter or leaver was not employed and approved unpaid leave, overtime from approved timesheets, allowances, then tax and deductions from the tax table in force on the pay day. Everybody seated there who is not on it is listed with why.

Who: HR who sets pay at the unit starts it and prepares it; someone else approves it.

On October 20 Sokha, HR at Northfield, starts the run for the period that ended last, with pay day October 30. 18 people are on it, and 2 are listed as left off: a volunteer, and somebody with no pay figure on their pay record.

If somebody is not on the run

  1. Press Open beside the run.
  2. Open Left off this run, under Since the last run.
  3. Read the reason beside each name.
  4. Put their record right: their period of service, or the figure on their pay record.
  5. Back on the run, press Work the lines out again.

Then: Once their record is right, they have a line of their own and are off the list.

Find a run, or one waiting for you

  1. Look under Waiting for your approval, at the top: the runs you may approve.
  2. Type a unit or a month, such as 2026-10, in the search box above the runs.
  3. Press Add filter to see one unit, one status or one pay day.
  4. Press Open beside the run.

Then: Each run shows its period, its unit, its pay day, how many people are on it, its gross where you may see it, and whether it is a draft, waiting for approval, approved, paid or canceled.

See pay that is locked

  1. Type your HR PIN in Your HR PIN, or tap it on the keys below.
  2. Or press Use my password instead and type your password.
  3. Press Open.

Then: Pay, personal details and sensitive fields are open for 10 minutes: a small run's total, and every line of the runs where you hold Read pay. Each line drawn is recorded as a read of that person's pay.

Pay runs shows where your organization's plan has it. You see the runs you have a part in: HR who sets pay at the unit (Enroll, invite and seat people, Read personal details and Set pay there, as the HR administrator, the Owner and Admins have) prepares them; whoever decides above the unit approves them; whoever holds Read pay there reads their lines; whoever holds See the books or Record money there reads their journal. The Pay runs tab shows to whoever holds Read pay; an approver without it opens a run from the notice they are sent. Organizations paying through a payroll provider use the payroll export instead.
