Participants
Everybody who took part in one of your programs or courses, with an account or not: one record each, and everything they took part in.
Find somebody and see what they took part in
- Type a name, an email address or a phone number in Find. A whole phone number is found however it was written.
- Narrow the list, if you like, by Program, Year, Course or Group.
- Press Find.
- Press a name to open their record beside the list.
- Read their details, then their Programs, Courses, Follow-ups and Groups. Each opens where you may open it.
Then: Their record says how long it is kept: three years after they last took part, unless they take part again, or for as long as they have an account or a membership. Somebody with an account also has Open their page in People.
Rather not? Press Clear to see everybody again.
Sokha booked last year's conference with an email address and a mobile number, and this year's with the same mobile and a new address. Typing the mobile number in Find, with or without the country code, opens one record with both programs on it: the mobile matched, and the first name is the same on both.
Review records that may be the same person
- Press the line above the list that says how many sets of records may be the same person, and ends Review them.
- Read each set: what the records share, and each one's email, mobile and programs.
- For two records that are one person, press Merge, read which record stays, and press Merge again.
- For two that are different people, press Not the same person.
- For three or more that are all different people, press the button that says None of these … are the same, with their count.
Then: Merged, everything the other record lists moves to the one that stays, its empty details are filled from the other, and the other record goes. The one with an account stays, or else the one with more history. Set apart, they are never suggested again.
Rather not? Press Cancel instead of confirming a merge, or Back to everybody to return to the list.
Dara books a place for themselves and two children with Dara's own email and phone. They are three records, because an email shared under different first names never joins people. The three are shown together as Same email · 3 records, and Grace presses None of these 3 are the same once.
Remove somebody from the directory
- Find them and open their record.
- Press Remove from the directory.
- Press Remove to confirm, or Keep them.
Then: Their record, and what it lists they took part in, leave the directory. Their bookings and courses stay as they were, and the removal is kept on the organization's record.
Download the list
- Search or filter the list until it shows who you want.
- Press Download.
- Choose Excel (.xlsx) or CSV (.csv).
Then: The file holds everybody the list finds. Email, mobile, WhatsApp, gender and date of birth are filled in only for people whose personal details you may read, and its About sheet says how many. Every download is kept on the organization's record.
Import people from programs before the app
- Press Import.
- Press Excel template or CSV template, or use a form's own download as it is.
- Give each row one person at one program, with the program's name and its date.
- Press Choose the filled-in file.
- Read the check: the rows it would record, the people already here, the past programs it would make, and every row it would refuse, by line.
- If a program isn't in the app, choose a unit to make it a past program at, or leave its rows out.
- If a date could be day first or month first, choose Day first or Month first once for the whole file.
- Press the Import button, which counts the rows.
Then: Each person becomes one record with each program on it, matched by email and then mobile as a booking is. A program made for the file is finished and closed, with no bookings. Nobody is emailed, no accounts are made, and importing the same file again adds nothing.
Rather not? For a file from one program, use Import past attendees on that program's Afterwards instead: it knows the program and its date, and running its bookings is enough there.
Last year's camp took registrations on an online form. Daniel adds a Program and a Program date column to its download and imports it as it is: the form's second Email column is left alone, the school and T-shirt columns are left alone, and "Same as mobile" under WhatsApp is read as the mobile number.
You see the people who took part where you may see people: through a course at a unit where you hold See people, through a program or a follow-up at a unit where you hold See people and See events, or through a membership or a seat there. People a unit beneath you keeps the names of are counted, not listed. Gender and date of birth need Read personal details where they took part. The Course and Group filters show only where Courses and Groups are on. Import needs Programs and the right to manage people and run bookings; Remove and Merge need managing people everywhere the person took part.
