One board

One board or committee: who serves on it, how it decides, when it meets, and its meetings, decisions, plans, papers and actions.

Seat a member, or end a term

  1. On Overview, press Seat someone.
  2. Search for the person: anyone holding a seat at this body's unit or below it.
  3. Choose their Role.
  4. Give Term starts and Term ends, if you know them.
  5. Add Inducted onto this body and What they bring, if you keep them.
  6. Press Seat, or Update seat for somebody already on it.

Then: They are on the roster and count toward quorum while their term runs. They are put on this body's meetings not yet held within their term, and told of each. An Advisor sits with the body without a vote and does not count toward quorum.

Rather not? Press End term beside a serving member to end their term today. They stay on the roster marked ended, every vote they cast stays theirs, and they come off the meetings not yet held.

Who: Anybody who can run board business at the body's unit seats members. A chair, vice-chair or secretary is seated or unseated only by one of this body's own officers, or by the owner or an administrator.

Grace, the board's chair, seats Sokha as a Member from March 1 and types audit, safeguarding under What they bring. Sokha is put on the April and June meetings already called and is told of each.

Read its meetings, decisions, papers and board pack

  1. Press Meetings, then a meeting to open it beside the list, or Full page to go to it.
  2. Press Decisions for its resolutions, or The whole register for every body's.
  3. Press Plans for the plans that name this body, each with its weakest goal's standing.
  4. Press Papers for every paper put to its meetings, and Action items for the work they gave out.
  5. Press Interests declared for its register of interests.
  6. Press Board pack for its last twelve months on one page, and print it from your browser.

Then: The pack shows who is serving, the quorum, meetings held and decisions carried, any carried motion not yet in the register, standing resolutions, outstanding actions and each meeting. Opened from a panel, it opens in a new tab, so the body stays where it was.

Before the annual meeting, Mary Ann opens the board's Board pack: 4 meetings held, 9 decisions carried, and 1 decision not in the register. Mary Ann asks the secretary to record it, then prints the pack for the table.

Set when the body meets

  1. Find When it meets.
  2. Type what Each meeting is called, and Where, if you like.
  3. Choose The first one: a day and time the rule falls on, in the body's own clock.
  4. Choose How often: Quarterly, Monthly, Every two weeks or Weekly.
  5. Give Minutes long and Until, if you like.
  6. Press Set the meetings.

Then: The first meeting is on the calendar at once, with everyone serving on its day invited. Each next one is made as it comes, about sixty days before it, so it invites the people serving then.

Rather not? Press Stop it to make no more; the meetings already made stay, and Start it again picks it up. For one meeting on its own, press Call the first meeting on Meetings when the body has none, or Call a meeting in Governance.

Mary Ann sets the board's meetings: Board Meeting, the first on January 13 at 6:00 PM, Quarterly. January's meeting appears at once with the serving members invited; April's appears in mid-February, about sixty days before it.

Decide something between meetings

  1. Press Decisions.
  2. Press Draft a resolution.
  3. Type its Title and its Wording: what the board resolves.
  4. Choose Who may read it: Ordinary business, Restricted or In camera.
  5. Press Draft it.

Then: It is on the register as a draft, numbered by its unit and year. It does not stand until the body has decided it: an officer of the body puts it to the members from Decisions, and it carries on their written answers, by the share the body has set. Restricted keeps it to the body's members, the people asked and an organization-wide board reader; In camera to its members and the people asked alone.

Rather not? An officer changes who may read it later, on Decisions: they choose again under Who may read it on its row and press Set. Once it has been put to the members, it can only be narrowed.

Who: Anybody who can run board business here drafts one; the chair, vice-chair or secretary puts it to the members, and changes who may read it.

Between meetings, Grace drafts Adoption of the safeguarding policy for the board. It goes on the register as draft 2026-012; the chair puts it to the members, and it stands once every member has agreed, as the board has set.

Change the body's quorum or rules

  1. Press Edit committee.
  2. Correct its Name, Type or Description, if needed.
  3. Under Quorum, choose No rule, Percentage of roster or Number of members, and give the number.
  4. Choose what A written resolution needs: every member, three quarters, two thirds or a majority of the roster.
  5. Give A term runs for a number of years, or leave it blank for no set length.
  6. Give And nobody serves more than a number of terms, or leave it blank for no limit.
  7. Choose how a motion is Carried by.
  8. Press Save.

Then: Meetings from now on use the new rules. Somebody seated from now on with a start and no end has their term end that many years after it starts; terms already set keep their dates. Motions already decided keep the tally, the quorum finding and the rule they were decided under.

The constitution says a third of the board makes a quorum, but the body was set to 5 members. Daniel opens Edit committee, chooses Percentage of roster, types 33 and saves. Last year's motions keep the quorum they were decided under.

You can open a body at your units and below if you can read board business, and any body you sit on now. Seat someone, End term, When it meets, Edit committee, Draft a resolution and Call the first meeting show only to whoever can run board business at its unit; the officer roles only to its officers, the owner and administrators. Meetings and papers follow each meeting's level: in camera ones only for the people who were on them. A written resolution follows the level chosen when it was drafted. A name reads Name withheld where that person's unit keeps names within it. A member without permission to read board business sees the body but not its Meetings list: their own meetings are on the Meetings calendar.
