Notifications
How each group of notices reaches people by default, by phone and by email, and the Slack and Microsoft Teams channels that hear about what happens.
Set how notices go out by default
- Find the group, such as Timesheets, Leave or Events and programs.
- Under Phone and Email, check or uncheck On.
- Read the line under a channel: how many people have turned it off for themselves.
- Press Save changes on the bar that appears at the foot of the page, or Discard to put every box back.
Then: It says Saved. Everybody starts from these, and changes their own under Your account › Notifications; somebody who has already chosen keeps their choice. Everything still reaches the notifications list in the app, whatever is set here.
Messages and posts start with Email off, and every other group with both on. Sokha's organization wants leave decisions by email from the first day, so they leave Leave on and press Save changes; a month later the page says 4 people have turned Leave emails off for themselves.
Send a group to everybody, always
- Find the group.
- Check Always under Phone or Email.
- Press Save changes on the bar that appears.
Then: That group goes to everybody on that channel, whatever they chose, and shows Always on their account, where it cannot be turned off. Always turns it on, too.
Rather not? Uncheck Always and press Save changes: everybody's own choice counts again.
Daniel's organization relies on timesheets being confirmed on time. They check Always under Email for Timesheets and press Save changes: nobody can turn those emails off.
Send notices to a Slack or Teams channel
- Press Add a channel.
- Choose Slack or Microsoft Teams under Where, and give it a Name you will recognize.
- Paste the posting address you copied from the channel's own settings in Slack or Teams into the address box.
- Under From, choose the unit whose notices it hears: that unit and every unit beneath it.
- Check each kind under Notices to send, such as A booking was made.
- Press Add the channel, and confirm it's you.
Then: It says the channel is added: send it a test from its row. Every Owner and Admin is emailed. Each notice says what happened and at which unit, with a link into ORG-APP, and never names a person, a program, an amount or an answer.
Who: Whoever opens the link signs in and sees only what they may.
Mary Ann adds #riverside-office on Slack, from the Riverside unit, with A booking was made checked. The channel hears "A new booking was made for a program at Riverside." each time somebody books there.
Test, pause or remove a channel
- Find the channel's row: where it goes, the unit it hears, its kinds, and how it did this week.
- Press Send a test to check it still takes posts.
- Press Pause to stop sending for a while, and Turn back on to start again.
- Press Remove, then Remove again to confirm, to take it away with its log.
Then: A paused channel gets nothing until you turn it back on. A test's line under Latest notices says how it went.
If somebody still gets an email you turned off
- Remember these are defaults: somebody who chose for themselves keeps their choice. Check Always to overrule it.
- Read the lines under the groups: some notices are always sent, whatever is set.
- Read the top of the page: if it says email is not connected yet, no emails go out at all.
- Ask the person to look at their own choices under Your account › Notifications.
Then: A default changed here applies, within a minute, to everybody who has not chosen for themselves.
Anybody who opens the page sees the defaults, and only an organization-wide role that changes settings can change them. Slack and Microsoft Teams shows only to the Owner and Admins, and its channels only on a plan with Admin tools, on the Premium plan. The line about texts shows only where your organization has text messages.
