My timesheet
Every shift you have clocked this month, what it adds up to, and where to ask for a shift to be put right.
Check your hours this month
- Open Calendar to see the month, each day colored by what the time was spent on.
- Read the tiles above the tabs: the month's hours, how they compare with what is expected, and what needs attention.
- Open Entries to see each recent shift, with its start, its end and its hours.
- Open Pending to see only the shifts that need something from you.
- Press Download month or Download 12 months to keep your own copy.
- Choose Excel (.xlsx) or CSV (.csv).
Then: Where your unit rounds recorded time, each shift shows what the clock recorded and what is reported, and a line above the tabs says whether the difference is in your favor.
On October 14 Dara's Hours tile reads 61.3. Tuesday's shift shows 4h 10m with “reported 4h 15m” beside it, because their unit rounds to the quarter hour, and the line above the tabs says the difference over the two weeks is in their favor.
Get a wrong shift put right
- Open Entries, or Pending for a shift that never closed.
- Find the shift and press Ask for a correction.
- Change I started at or I left at to the times you really worked.
- Fill in Breaks, in minutes only if the breaks were wrong.
- Say what happened in What went wrong, in your own words.
- Press Send the request.
Then: The shift says “correction asked”, and the request waits under Your correction requests. Once answered it reads Corrected, with who made the change and why, or Not made, with their reply. You are told either way.
Rather not? Press Withdraw on a request still waiting to take it back.
Who: It goes to the nearest people who approve time, at the unit where you worked or above it, never to you, and they answer it in Approvals under Corrections. Nobody changes their own hours, an approver included.
Sokha forgot to clock out on Tuesday, so the shift shows “unpaired” with no hours. They press Ask for a correction, set I left at to 5:30 PM, write “Forgot to clock out after the food bank”, and send it. Grace corrects it the next morning, and the shift reads 8h 15m, marked Corrected.
Add a shift you never clocked
- Open Entries.
- Press A shift I forgot to record.
- Choose the unit under Where, if you work at more than one.
- Give I started at and I left at.
- Say why it was not clocked in What went wrong.
- Press Send the request.
Then: It waits under Your correction requests. Somebody who approves time there adds the shift with their name and a reason, or answers why not, and you are told.
Who: The people who approve time at that unit, never you.
Say what a shift was spent on
- Open Entries and find the shift.
- Press Account for it, or Edit account if it has one already.
- Press Add a category.
- Choose the Category.
- Type its Minutes.
- Press Split again for each other thing you worked on.
- Write anything worth saying in About the shift.
- Press Save.
Then: The shift lists each category with its minutes. Time in a category that is not working time comes off the shift's counted hours.
Who: Your approver reads your note beside the shift; it is not their decision note.
Daniel's Saturday shift lasted 6 hours. They add Youth club with 240 minutes and Travel with 120, the panel reads “All accounted for”, and they save it.
Confirm your timesheet for a period
- Find the period under Your timesheet periods, once its last day has come.
- Read the sentence beside the box: the hours and the shifts you are confirming.
- Check the box.
- Press Confirm my timesheet.
Then: The card says Confirmed, with the day. If anything changes afterwards it says “Changed since you confirmed”, and Confirm again appears.
Who: Confirming is not an approval: whoever approves time still signs each shift. Past the day your organization sets, the period goes to its approvers anyway, marked as not confirmed.
Only your own shifts are here. Entries and Pending reach back two weeks or to the first of the month, whichever is further; the calendar shows the month and needs an active seat. Your attendance shows only where your organization keeps set times, and the periods to confirm only where it asks for them. An Auditor, whose every seat only reads, keeps no timesheet: My time and its tabs say so in place of the page, and a correction asked for is refused. My pay is left out of the tabs for somebody the organization pays nothing, by the rule My pay itself says: a volunteer, a contractor or somebody on secondment, with no pay recorded for them.
