My claims

What you spent for the organization from your own pocket, claimed back: who agreed it, and when you were paid.

Claim back something you paid for

  1. Press Claim an expense.
  2. Choose the Unit the money was spent for.
  3. Say What it was for.
  4. Choose its Category.
  5. Type the Amount.
  6. Give the Date spent.
  7. Add a Photo of the receipt from your camera, or a PDF.
  8. Press Submit.

Then: It shows as Waiting for a decision. You are told when it is approved, sent back or paid back.

Who: Whoever approves money at that unit decides it, after any steps your organization has set for claims; never you. Whoever keeps the book then pays you back and marks it paid.

Mary Ann pays $18 for a taxi to a partners' meeting and claims it with a photo of the receipt. Daniel approves it on Tuesday, and on Friday Mary Ann is told it was paid back from the bank.

See where your claim is

  1. Press a tile at the top to see only those claims: Waiting for a decision, To pay back or Approved.
  2. Read each claim's status: waiting, approved and to pay back, paid back, or sent back with a note.
  3. Search or filter the list to find an older one.

Then: A claim paid back says on which day, and from which account.

Who: Approving and paying back are two steps, by two people: an approved claim reads “Approved · to pay back” until whoever keeps the book pays it.

Put a claim right after it was sent back

  1. Find the claim marked Sent back, and read the note on it.
  2. Press Claim again.
  3. Change what the note asks for: what you typed before is filled in.
  4. Choose a new photo only if you want to send a different receipt.
  5. Press Submit.

Then: A new claim goes for a decision, with its receipt.

Dara's claim for $42 of printing comes back with the note “add the receipt”. They press Claim again, everything they typed is there, and they add the photo and submit it.

Withdraw a claim nobody has decided

  1. Find the claim waiting for a decision.
  2. Press Withdraw.
  3. Press Save.

Then: It comes off the list. Nothing was posted, so nothing is undone.

Only your own claims are here. Claiming needs Claim expenses at the unit the money was spent for, which every built-in role holds but Auditor, and the Claims tab shows where your organization's plan has budgets and expenses. Nobody decides their own claim.
