Messages
Who your staff can start a message to: anyone anywhere, or up the line and across through their leads. One answer for the whole organization, chosen by its Owners and Admins.
Choose how far staff can write
- Under Who can staff write to?, press a starting point: One staff directory, Follow the hierarchy or Own line only.
- Read the three answers it chose beneath it: Up the line, Sideways, same board, and Other boards.
- Press Save changes.
- If you are asked to confirm it's you, enter your password again.
Then: New messages follow it at once. Conversations already started carry on. Each person's To box finds only the people they may now start a message to, and a person's page offers Message only where they may.
Rather not? Press Discard before you save to put every answer back as it was.
Who: Only the organization's Owners and Admins change it, and it is the same for every unit.
Grace's organization has national offices, each with local units under it. They keep Follow the hierarchy: Dara, staff at one local unit, writes to their own unit, the person they report to and the national office's lead, and a unit beside theirs only through its lead. Dara's To box says "Your organization sends messages to other units through their leads." when a name is not found.
Change one answer
- Under Up the line, choose who staff can write to at the units above their own.
- Under Sideways, same board, choose who they can write to at the units beside theirs under the same board.
- Under Other boards, choose who they can write to at the units under another board.
- Press Save changes.
Then: The starting points show Your own mix while the answers are none of the three.
Choose who counts as a lead
- Under Who counts as a lead, press the cross beside a role to take it off.
- Choose a role in + Add a role to add it. Your organization's own roles are listed too.
- Press Save changes.
Then: Wherever an answer is about leads, somebody whose seat at a unit holds one of these roles is that unit's lead.
Mary Ann's organization has its own Regional Director role. They add it under Who counts as a lead and save: each region's director can now be written to by the units below, and writes to the other regions' leads.
See whom one staff member could write to
- Under Preview as, type part of a staff member's name and choose them.
- Read the line above the units: how many staff they could start a message to, out of all of them.
- Read each unit: everyone there, how many leads, their manager, or nobody.
- Change an answer above, and the preview follows it before you save.
- Press Preview someone else to choose another person.
Then: The preview counts people; it never lists who they are, and it changes nothing until you save.
Name a lead where a unit has none
- Under Units with no lead, find the unit.
- Press Name a lead beside it: People opens at that unit.
- Open the person who leads it, and give their seat a role that counts as a lead, such as Unit lead.
Then: Once somebody there holds a lead's role, the unit leaves the list, and the units around it can reach it through its lead.
Only the organization's Owners and Admins open this page and change it: who may reach whom across the organization is its leadership's to say. Anybody else who types its address is told whose page it is, and shown nothing. Below the answers it says who changed them last, with a link to the audit log on a plan with Admin tools.
