Members

The memberships of the units where you run membership or keep its dues: who is a member, of which kind, who has applied, and who is due to renew.

Approve an application, or say not this time

  1. Press Applications.
  2. Press Decide on an application waiting for approval, and read its answers.
  3. If it was sent on the public link, type the member's First name, and their Last name (optional) and Email (optional) as the answers give them.
  4. For an organization's membership, type The organization's name.
  5. Add A note for the applicant (optional), if you like.
  6. Press Approve.

Then: The membership begins with its number. Where its kind asks dues, it waits for its first dues; a kind with no dues is active at once. The applicant is told in the app where they have an account, with what to pay, or emailed how to pay where only an email address was given.

Rather not? Type Why not this time (optional, they read it) and press Not this time. The applicant is told where they have an account.

Who: Whoever runs membership nearest the kind's unit is told when an application arrives. The applicant never decides it.

Mary Ann applies for a Family membership on Riverside's public form. Daniel, who runs membership there, presses Decide, types Mary Ann's name and email from the answers, and presses Approve. The membership waits for its first dues, and Mary Ann is emailed how to pay them.

  2. Choose the Kind of membership.
  3. For an organization's membership, type Organization's name (an organization's membership).
  4. Type the Lead's first name, and the Lead's last name (optional).
  5. Type their Email (optional): renewal reminders go there where they have no account.
  6. Press Add the member.

Then: Its page opens with its number. Where its kind asks dues, its first period's dues are owed from today and it reads Waiting for first dues until they are paid or waived. The lead joins Participants, or is found there by their email address and first name.

Who: Whoever runs membership at the unit. An Owner or Administrator also sets how membership numbers begin, under Membership numbers on the same tab.

Riverside offers Individual at $60 a year, Family at $120 a year for up to 2 adults and their children, and Organization at $300 a year for up to 5 named people, each with 30 days' grace. Sokha adds Family with the Family membership form, and every response to that form waits under Applications.

See who is due to renew

  1. Press Renewals.
  2. Read each line: where it stands, when it ends or lapses, and the last reminder it was sent.
  3. Press a name to open the membership.

Then: Each period's next dues are asked 30 days before it ends. The member is reminded 30 and 7 days before, on the day, on the first day of the grace and when it lapses, each once: in the app where the lead has an account, or by email where they have only an address.

Rather not? To count members by kind and standing, press Reports. Press Active members, Lapsed members or All and choose Excel (.xlsx) or CSV (.csv) for the list as a file.

Who: Whoever keeps the dues also sees what each owes.

Grace's Family membership is paid through March 31. On March 1 its next year's dues are asked and the first reminder goes; Grace has an account, so it arrives in the app. Grace pays a week later, and the line shows that it was renewed.

Record dues paid on a payment page

  7. Press the Record button, which counts the payments.

Then: Each payment is recorded on its dues with your name, and posted to the unit's book where it has chosen its takings accounts. Dues paid in full renew the membership, or begin it.

Who: Whoever keeps membership dues: a Finance officer by role, and whoever runs membership, which carries it.

Riverside takes dues on Zeffy, where members type the amount and their dues' reference. Each Friday Dara exports Itemized payments and imports it here: twelve match by their reference, one waits under Needs you because its amount is not what the dues owe, and Dara chooses whether to record it.

Members comes with the Membership module, where your organization's plan has it and it is switched on. You see the memberships at units where you run membership or keep its dues. Types and Applications show only to whoever runs membership; what each owes and Import payments only to whoever keeps the dues, which running membership carries. A member whose unit keeps its people's names within it reads A member. Only an Owner or Administrator sets how membership numbers begin.
