Levy schedules
The rules the units below a unit owe it by and, for a period, what each would owe, worked out before anybody is billed.
Set up a levy schedule
- Press New schedule.
- Choose the unit that is owed under Set up by.
- Give it a Name.
- Choose who it is Owed by: Every unit below it, or every unit at one level.
- Choose How much: A flat amount from each unit, So much a member or A share of published income, and type the amount or the Percent.
- Choose How often, and how many days after it is Due.
- Press Make the schedule.
Then: It is listed, and nobody is billed until you raise a period.
Work out a period and raise it
- Press Raise a period… on the schedule.
- Choose the Period: the one just finished comes first.
- Press Work it out.
- Read what each unit would owe and how it was worked out, and which units would not be raised, and why. A unit that already has a levy standing for the period is not checked here: Raise skips it.
- Where it asks, give a rate and its day for each other currency, and press Work it out again.
- Press the Raise button, which names the period.
Then: Each levy goes into both books at once: in the owing unit's as what it owes, and in yours as what you are owed. Whoever keeps each billed unit's book is told only that a levy was raised for the period. The message you see after pressing Raise says which units were not raised, and why.
The Texas office charges the units below it 5% of published income every quarter. In October it works out the third quarter: Houston $570, Dallas $310, and Austin not raised because it has not published September. The office raises the two, and raises Austin once it has published.
Change or retire a schedule
- Open the schedule's menu.
- Press Change…, change what you need, and press Save.
- Or press Retire. Bring back puts a retired one back in use.
Then: A change counts from the next period raised; levies already raised keep what they were. Retired, it raises nothing more, and the levies it raised stand.
Who: Whoever holds Record money at the unit that set it up.
If Raise a period… is not there
- Read the note above the schedules: it names the accounts the chart of accounts lacks.
- Press Add them to the chart, if you are offered it.
- Otherwise ask the Owner, an Admin, or whoever keeps the organization's top book.
Then: The accounts are added at the starter chart's codes, and Raise a period… appears.
If a unit is left out when it is worked out
- Read the reason beside the unit's name, under Not raised.
- Do what it asks.
- Press Work it out again, or raise the period later: only the units not yet raised are billed.
You see the schedules set up by every unit where you hold See the books. New schedule is for whoever holds Record money at some unit; Change, Retire and Raise a period… only at the unit that set the schedule up. The accounts are added by the Owner, an Admin, or whoever keeps the organization's top book. Somebody who holds See the books nowhere is told the page is the book's, and sees no schedule. Levy schedules are there only where your organization's plan has levies.
