Levies
What units owe the units above them, what has been paid and what is late, seen from both ends, so the two books agree.
Record a payment that has arrived
- Find the levy owed to your unit.
- Press Record payment on its line.
- Choose the Transfer your unit confirmed it received.
- Leave Amount blank to apply what is outstanding, or what is left on the transfer if that is less; or type part of it.
- Press Record.
Then: Both books come down by what was applied. A part payment leaves the rest owed against that period; paid in full, the levy reads Settled and leaves the notices of whoever keeps the owing unit's book.
Who: Whoever holds Record money at the unit owed records it, never the unit that owes: a debt is not cleared on the payer's word.
The Texas office raised Houston's levy for the third quarter. Houston pays half, and the office records it against the transfer it confirmed: the rest stays owed against the third quarter rather than rolling into the fourth.
Pay a levy your unit owes
- Find the levy your unit owes and press Send payment.
- Check the amount: what is still owed is filled in.
- Choose the account it leaves under Out of, and where it waits until it is confirmed under Into transit.
- Add a Reference if you like.
- Press Record as sent.
Then: Only your book's side is posted now. The unit owed confirms it arrived under Between units on its Journal, and it is applied to the levy as they do; paying all that is still owed settles the levy in both books.
Who: Whoever holds Record money at the unit that owes it sends it; whoever keeps the owed unit's book confirms it.
See who is behind, and download the levies
- Read Outstanding and Overdue at the top, and the arrears below, by how late they are.
- Press the Overdue tile to list only the levies past their due date; press it again to let go.
- Press Add filter to narrow by unit, status, period or basis.
- Press Download and choose Excel (.xlsx) or CSV (.csv).
Then: Arrears are aged in each currency on its own, never added across currencies: not yet due, 1–30 days, 31–60, 61–90 and over 90. A waived levy is not counted as arrears. The download holds every levy owed by or to a unit whose book you read, the totals by unit, and the arrears by how late they are.
Waive a levy, or cancel one raised in error
- Press Waive on the levy.
- Under What is happening, choose Waive — the debt was real and is being forgiven or Cancel — it was raised in error.
- Give the Reason.
- Press Save.
Then: Waived, what was still owed comes out of both books, with the reason against your name, and what was paid stays paid. Canceled, both of its entries are reversed, and its period is free: the schedule can raise that unit for it again. Neither deletes anything, and the levy leaves the notices of whoever keeps the owing unit's book.
Who: Somebody with Approve money at the unit owed: forgiving a debt is a decision somebody answers for, not the treasurer's alone.
If a unit says it has paid and Record payment is not there
- Open the Journal of the unit owed, and look under Between units.
- Find the transfer, choose A levy's payment under What it was, and press Confirm it arrived.
- Come back to Levies and press Record payment on the levy.
Then: A payment sent with Send payment is applied by itself as it is confirmed, with nothing more to press.
You see every levy owed by or to a unit where you hold See the books, so a unit sees what it owes as well as what it is owed. Send payment is for whoever holds Record money at the unit that owes. Record payment shows to any reader once a confirmed transfer is there, but records only for whoever holds Record money at the unit owed. Waive is for somebody with Approve money. Raise levies shows where you may raise a schedule. Somebody who holds See the books nowhere, who opens the page by its address, is told it is the book's, and sees no levy. Levies are there only where your organization's plan has them.
