Joining
What waits on you when somebody joins or leaves — a checklist task, a probation review, an exit step — and, for HR, every checklist, probation review and checklist template where it keeps records.
See what waits on you
- Open Yours.
- Read Tasks that are yours: each says whose checklist it is, whose desk the task belongs to, and the day it is due.
- Press Open beside a task to open its checklist, and check it off there.
- Under Probation reviews waiting on you, take your step on the review where it is shown.
- Under Leaving: waiting on you, press Open to open the exit at your step.
- Read Your own for your own checklists, and where your own probation stands.
Then: With nothing left, the page says “Nothing about joining or leaving waits on you.” The same work is counted on My workspace and on your Home, which bring you here.
Who: Each checklist task belongs to one desk: the new person (or the person leaving), their manager, IT, Finance or HR. A probation review waits on the manager, then HR, then the decider; an exit step on the decider, an Owner, the finance desk or HR.
Ana in IT opens Yours on a Monday. “Create their account and email” is due tomorrow on a joining checklist at Riverside, and “Equipment back” is overdue on a leaver's clearance. Ana presses Open beside each and checks them off there.
Recommend on a probation, as their manager
- Open Probation.
- Press Recommend beside the person.
- Choose Confirm in post, Extend the probation or Do not confirm.
- Write A note for HR, if you have something to say.
- Press Send to HR.
Then: The review moves to With HR, and HR where they sit is told to record a pass, or propose an extension or not confirming them. Your notice about it is put away.
Rather not? The same form is shown under Probation reviews waiting on you, on Yours.
Who: HR and the decider read your note; the person does not, and reads only the stage their review is at.
Grace manages a new youth worker at the Hillcrest center. Four weeks before the probation ends Grace is asked, presses Recommend, chooses Confirm in post and writes “Runs the Friday club on their own now” for HR.
Record or decide a probation's outcome
- Open Probation.
- As HR, press Record or propose beside the person once their manager has recommended.
- Choose Record a pass, Propose an extension or Propose not confirming.
- For an extension, choose the New end, for an extension.
- Write A note for the decider, then press Save.
- As the decider, press Decide beside the person.
- Write Your note: it is needed to send it back.
- Press the button that confirms the extension or not confirming them, or Send it back to HR.
Then: A pass is recorded at once, and the review reads Decided. An extension or not confirming goes to the decider, who is told. Confirmed, an extension's new end is recorded on their period of service and a new review opens 28 days before it; confirmed not confirming tells HR to start their exit once they have told the person. Sent back, it returns to HR with the note.
Who: The decider is HR at the unit above theirs — who holds Enroll, invite and seat people and Read personal details there, as HR above and an Admin do — or an Owner; at the top of the organization, only an Owner. A coordinator who seats people there but reads none of their HR records does not decide. Never the manager who recommended it, the HR who proposed it, or the person it is about.
Mary Ann in HR reads the manager's recommendation to extend, chooses Propose an extension with a new end of June 30, and saves. Lee, HR for the Northern Region above that unit, is told, presses Decide and confirms it, and the new end is recorded.
Follow the checklists under way
- Press a tile above the tabs, such as Starting in the next 30 days or Probation not confirmed after it ended, to see just what it counts.
- Open Checklists.
- Choose Under way, or Every one for completed and canceled ones too.
- Search by person or checklist, or narrow it by Unit, Direction or When.
- Open Show the checklist on a card to read its tasks in place.
- Press Open the checklist to see it desk by desk.
Then: Each card shows the person, joining or leaving, the unit, the checklist's name and its day, how many tasks are done and overdue, and the next task with whose it is.
Rather not? Somebody got no checklist? Start one by hand: open their HR record, open Joining & leaving, choose Joining or Leaving under Start a checklist, choose a template under From or leave the one that fits them, and press Start.
Who: HR starts one by hand; where no template fits, it starts from the suggested tasks. Each desk is told its tasks when a checklist starts, except whoever started it.
Tomas presses Starting in the next 30 days and sees three joiners. One card reads 2 of 10 tasks, with “Next: Create their account and email, IT”, due tomorrow, so Tomas asks IT about it.
Write a checklist template
- Open Templates.
- Choose the unit under Kept at.
- Choose under Starts by itself when whether it is for joining or leaving.
- Type its Name.
- Press Write it: it starts from the suggested tasks unless you uncheck Start from the suggested tasks first.
- Check the footings and roles it is for, and press Save template.
- Open + Add task for a task of your own.
- Type the Task, choose Whose it is, and give its Days and When.
- Choose what Checking it off also does: nothing else, a document to read, or equipment issued or taken back.
- Press Add the task.
Then: A template is kept at its unit and the units below it unless you uncheck that, and is for every footing and role unless you check some. Changes apply to checklists started after you save: a checklist under way keeps its tasks. Where several fit somebody, the one kept nearest them starts, then one that names their role, then one that names their footing, then the oldest.
Rather not? Check Retired: kept for the checklists it started, and never started again and save, to stop a template starting. Beside each task, the arrows move it and the cross removes it.
Who: Only HR where a template is kept changes it. A task that asks somebody to read a document is always the person's own to check off, whoever you chose.
Mary Ann, HR at the Northern Region, writes “Volunteer onboarding” kept at the region and below, for volunteers only, from the suggested tasks, and adds “Read the safeguarding policy”, which asks each new volunteer to read and acknowledge it. The next volunteer whose period of service starts at Hillcrest gets it by itself.
Everybody in the plan sees what waits on them here. Checklists, Templates and the tiles are HR's: whoever keeps HR records where the person sits — the HR administrator, and the Owners and Admins — holding both Enroll, invite and seat people and Read personal details there. Probation shows the reviews you take part in: as HR where they are kept, as the manager a review asks, or as the decider of one waiting, never your own. The HR tabs show only to those who hold Read pay; anybody else sees My team, Reviews, One-to-ones and Joining as the tabs, and comes here from My team in the menu if they manage somebody, or from My workspace or Home. A name reads Name withheld where that person's unit keeps its people's names within it. The page is there where your organization's plan has HR.
