Import people
Put a list of people on the books from a spreadsheet, each with a seat at a unit, checked in full before anything is written.
Import a list of people
- Open People, press More, then Import a list.
- Press Excel template, or CSV template.
- Fill in one row per person and seat. Only first name, last name, unit and role are needed.
- Press Choose a file and pick the filled-in sheet. It is read into The file, in place of the example the box starts with.
- Press Check the file.
- Read who is to be put on the books, who is already here and gaining a seat, and every row that would be refused.
- Press Import them.
- Type your password again if you are asked to confirm it's you.
Then: The page says how many people were put on the books and how many were given a seat they did not have. Nobody is invited yet, and the import is recorded once against your name.
Rather not? Paste comma-separated rows, with a header line, straight into The file instead of choosing a file.
Who: An import invites nobody: you send the invitations from People once you have looked at the list.
Sokha has 40 volunteers from the Riverside center in a spreadsheet. Sokha copies them into the template, chooses Volunteer as the engagement with the day each started, and presses Check the file: 40 to put on the books, nothing refused. After Import them, each start date is the day their leave is counted from.
Invite the people you imported
- Open People.
- Find the line saying how many people on the list have not been invited yet.
- Press Invite everyone not yet invited, or Invite them when there is one.
- Read whom it names, then press Send them, or Send it for one person.
Then: Each gets an email with a link to choose a password. The first 100 go at a press: press again for the rest.
Rather not? Open one person's page and press Send invitation to invite them alone.
Give somebody already here another seat
- Give their email address in the row, as it is on their record.
- Give the unit and the role of the new seat, and any of reach, job title, hours, clocks in and files reports.
- Press Check the file. They are listed as already here, gaining a seat.
- Press Import them.
Then: They keep their one record and gain the seat. Only the seat's columns are used for them; their own details and their engagement stay as they are.
If the file is refused over a column, such as salary or date of birth
- Read the refusal on line 1: it names the column.
- Remove that column from the file.
- Press Check the file again.
- Enter those details on each person's own page instead.
Then: Dates of birth, addresses, next of kin, pay, bank and tax details, and checks are never imported. They are entered one person at a time, with a name against each change. Pay has its own import on the People page, for whoever may set it.
If a unit or a role you expected is refused
- Read the units named at the top of the page: those are the units you may seat people at.
- Press Excel template again. Its dropdowns are read when you download it, so a unit or a role added since is in the new one.
- If it is still missing, ask whoever looks after that unit.
The page names only the units where you may seat people with at least one role you could give there, and only those can be used in a file; with none, it says so and offers no import, and People's More does not offer Import a list. The template's unit and role dropdowns are yours, read when you download it. Your organization's own fields appear as columns only where it keeps HR records and you keep them at that unit.
