Import hierarchy

Build or add to your hierarchy from a spreadsheet, one row a unit, checked in full before anything is made.

Import units from a spreadsheet

  1. Press Excel template, or CSV template, and fill in one row for each unit.
  2. In the path column, name the unit after its parents, joined by >, such as Kenya > Coast > Mombasa North. In the level column, use one of your organization's levels: the Excel template offers them in a dropdown.
  3. Press Choose a file and choose it, or paste the rows into Paste the file.
  4. Press Check file.
  5. Read what it found: how many to create, how many already exist, and any problems, each with its line number.
  6. Press the Create button, which says how many units it will make.

Then: Every unit is made at once, or none is. The page says how many were created and how many that already existed were left alone, with Back to the hierarchy.

A federation keeps its two hundred units in a spreadsheet. Dara fills in the Excel template, chooses it and presses Check file: 198 to create and 2 problems, both a parent's name misspelled. Dara fixes the file, checks it again, and presses Create 200 units.

Add units to the hierarchy you have

  1. Press Download the current hierarchy.
  2. Choose Excel (.xlsx).
  3. Add a row for each new unit under the ones already there, and save the file.
  4. Press Choose a file and choose it.
  5. Press Check file.
  6. Press the Create button.

Then: Rows for units that already exist are counted as already there and left alone, so importing the same file twice makes nothing twice.

Grace downloads the current hierarchy, adds three rows under Kenya > Coast, and chooses the file. The check shows 3 to create and 41 already exist, and only the three new units are made.

If the check finds problems

  1. Read each problem: Line, its number in the file, then what is wrong.
  2. Fix those lines in your spreadsheet, or in the box.
  3. Choose the file again, if you fixed it in the spreadsheet.
  4. Press Check file again.

Sokha's check says Line 12: Unknown level "District". Their organization has no District yet, so Sokha adds it under Level types, presses Check file again, and the problem is gone.

Importing makes units anywhere in the organization, so this page is only for an organization-wide role that may change units: anybody else sees a line saying so.
