Import
Bring a book in from another system or a spreadsheet: the chart of accounts, budgets, donors and gifts, in the order a move needs them. Every file is checked before anything is written, and each import can be undone for seven days.
Import a spreadsheet
- Find what you are bringing in under The suggested order, and press Import on its card.
- Choose where it goes: the unit whose book it is, or the draft budget.
- Press Download the template for a file with the right headings, an Instructions sheet and dropdowns from your own accounts and funds, or use your own file.
- Press Choose your file and pick the Excel or CSV file.
- If any column was guessed, check each one under Match your columns, choose Not in my file for a column you do not have, and press Check the file.
- Read the check: how many rows are new, how many change something, how many are here already, and how many are refused and why.
- Press the Import button, which names how many rows it brings in.
Then: The rows come in through the same steps as adding them by hand: money goes into the book as entries, gifts get their receipt numbers. The import is kept under Past imports with who ran it and what it brought in, and how your file names its columns is remembered for the next one.
Rather not? Press Change the matching to match the columns again, or Choose another file to start over. Nothing is written before the Import button.
Who: Importing into a unit's book needs Record money at that unit. The chart of accounts is the organization's: whoever keeps its top book imports it, or an Owner or Admin.
Grace moves Hillside Center's giving from a spreadsheet. They import the donors first, 212 of them, then the gifts: the check shows 1,480 new gifts and 6 already in the book, which are left out. They press Import, and every gift is in the book with its receipt number.
Import the good rows and fix the refused ones
- On the check, read the reasons under Refused rows.
- Press Download the refused rows: an Excel file of just those rows, with a Problem column saying what is wrong with each.
- Press the Import button, which says it imports the good rows. The refused rows are left out.
- Fix the rows in the downloaded file, then import it as a new file.
Then: The good rows come in now. Past imports says the refused rows were left out, and how many.
Download a template, or your own records to edit
- Find the kind under The suggested order.
- Press Download the template and choose Excel or CSV for an empty template with examples.
- Or press My data in this format for what is already in, under the same headings, to change in Excel and import back.
Then: The file downloads. Its dropdowns list your organization's own accounts, funds and people as they are now.
Undo an import
- Find it under Past imports.
- Press Undo.
- Read what will be taken back, and press Undo the import.
Then: What the import added is removed, what it changed is put back as it was, and money it recorded is reversed in the book with a mirror entry. The import shows as Undone.
Rather not? Press Keep it to leave the import as it is.
Who: Whoever ran the import, or anybody who keeps that book now, can undo it.
Import customers
- Press Import on the Customers card, and import the file as in Import a spreadsheet.
Then: Each row is matched to a customer at the unit by email, then by name: a match is updated, the rest are added, and a name two customers share is refused. An email already on a customer is never changed from a file.
Import suppliers
- Press Import on the Suppliers card, and import the file as in Import a spreadsheet.
Then: Each row is matched to a supplier at the unit by name: a match is updated, the rest are added. How to pay a supplier is never set from a file: change it on the supplier's own page.
Import items and prices
- Press Import on the Items & prices card, and import the file as in Import a spreadsheet.
Then: Each item is matched by name at the unit, its income account read by code and its tax rate by name. A match takes the file's price, the rest are added.
Import your opening trial balance
- Press Import on the Opening trial balance card, and give the day before your books start, then each account's debit or credit.
Then: It must balance, and comes in whole or not at all, as the book's opening balances. A book with entries on or before that day is refused, as on Periods.
Import invoices still owed on your start day
- Import the opening trial balance first, then press Import on the Open invoices card.
Then: Each invoice keeps its old number and what was left on it, and is never posted again: the opening balances already hold it. Together they must equal what is owed to you in the opening balances, unless you accept the difference in words.
Import bills still unpaid on your start day
- Import the suppliers and the opening trial balance first, then press Import on the Unpaid bills card.
Then: Each bill is owed as it was and never posted again. Together they must equal what you owe on bills in the opening balances, unless you accept the difference in words.
Import journal entries
- Press Import on the Journal entries card, and import a file with a Journal No. on every line.
Then: Lines sharing a Journal No. are one entry, and every entry must balance, or nothing comes in. It reads this app's own For QuickBooks download and QuickBooks' own journal export. The Journal says each was imported, and undo reverses them.
Move a whole book from QuickBooks
- Press Moving from QuickBooks? and follow the guided move.
Then: Accounts, customers, suppliers, items, opening balances and what is still owed come in as one set, checked against QuickBooks to the cent, and undone whole for seven days.
You see the kinds your organization's plan includes, and only the units and budgets you may import into. Past imports shows your own imports and those at units whose book you keep.
