Hiring

The vacancies you keep or hire for, every hiring step waiting on you, and where HR asks for a new vacancy from a position.

Ask for a vacancy

  1. Open Ask for a vacancy.
  2. Choose the position under From the position. A position nobody holds says vacant.
  3. Type the Title on the job post.
  4. Set the number of Openings.
  5. Choose How they are engaged.
  6. Type the Yearly cost, in the unit's own currency.
  7. Type the Budget line that pays it.
  8. Uncheck It is within the approved budget if it is above budget.
  9. Choose a Hiring manager (optional): the person they will work for.
  10. Write Why the place is needed.
  11. Press Ask for it.

Then: The vacancy's page opens, saying Waiting for the decider above, and whoever decides it is told it waits for them. Nothing is posted until it is approved.

Rather not? Press Withdraw the request on the vacancy's page while it still waits for a decision.

Who: HR at the unit above the position's (they hold Enroll, invite and seat people and Read personal details there), an Admin or an Owner decides it, never you. At the top unit only an Owner decides. Above budget, an Owner says yes too. The hiring manager follows its applicants, never the pay.

Grace, in HR at Hillcrest, asks for a Program Coordinator from the vacant Coordinator position, paid from the budget line “Program staff, 2026–27, line 4”. That line is already spent, so Grace unchecks the budget box. Daniel, HR for the North Region above Hillcrest, is told a vacancy waits for a decision.

Approve or decline a vacancy request

  1. Find it under Vacancies to decide, or open the notice that told you.
  2. Press Open beside it.
  3. Read the request: who asked, the yearly cost, whether it is within budget, the budget line and why.
  4. To say yes, type a Note (optional) if you like, and press Approve, or Approve above budget when it waits for an Owner.
  5. To say no, write Why it is declined and press Decline.

Then: Approved, whoever asked is told to post it. Above budget and approved by somebody who is not an Owner, it waits for an Owner instead: the Owners are told, and so is whoever asked. An Owner who approves it first approves it outright. Declined, whoever asked is told, with your note.

Who: HR at the unit above the vacancy's, an Admin or an Owner; never whoever asked. A request above budget then waits for an Owner's yes.

Daniel approves Grace's request for Hillcrest. It is above budget, so it moves to Above budget: waiting for an Owner, and the Owners are told. Mary Ann, an Owner, presses Approve above budget, and Grace is told to post it.

Take a hiring step that waits on you

  1. Read Waiting on you at the top of Hiring: Vacancies to decide, Offers to sign off, Checks to verify and Scorecards.
  2. Press Open beside the step.
  3. Take the step on the vacancy's page: the request, or the panel beside the applicant's name.

Then: The step leaves the list once it is taken, and the notice about it is marked done.

Who: Each step is somebody's own: the decider above decides a request, a panel member scores, HR at the unit above who reads pay there, an Admin or an Owner signs off an offer, and somebody who records checks verifies one. Notices name the vacancy, never the applicant.

Find a vacancy

  1. Look under Vacancies: the open ones, newest first.
  2. Search by title or unit in the search box.
  3. Press Add filter to narrow it by unit, status or how they are engaged.
  4. Press Closed and declined too to see those as well, and Open ones only to go back.
  5. Press Open beside the vacancy.

Then: Each row shows its unit, its openings, how many are filled, how many applicants are on its board, when it closes, and where it stands.

Hiring opens to everybody where your organization's plan has Recruitment, but each person sees only their part. The vacancies listed are those at units where you keep HR records (both Enroll, invite and seat people and Read personal details there) and those you are the named hiring manager of; Ask for a vacancy is HR's alone. A decider, a panel member, whoever signs off an offer and whoever verifies a check see the steps waiting on them. The Hiring tab beside Org chart and Headcount shows to those who hold Read pay; everybody else reaches Hiring from Home, My workspace and their notices.
