Gifts

Every gift to the units whose book you read, as it went into the book: who gave, how much, for what, its receipt, and whether they have been thanked.

Record a gift

  1. Press Record a gift.
  2. Type a name under Who gave, then choose the donor, or somebody with an account here.
  3. For somebody new, choose the line that adds them by name, choose A person or An organization, and give a Phone or an Email if you have one.
  4. Ask how they would like to be thanked, and press each way they choose, or Please don’t contact them.
  5. Type the Amount, and set Received to the day the money arrived: it starts at today.
  6. Choose how it came, and check Into and For.
  7. Choose Towards a pledge if they promised one, and check Part of a monthly gift if it is.
  8. Press Record gift.

Then: It is in the unit's book at once: the account it came into goes up, and donations up the same, for its fund. A gift with a name takes the next receipt number. A thank-you goes on the To do of whoever looks after the donor, due within the days your unit sets, and they are told; while nobody looks after them, it is on yours.

Rather not? A gift recorded wrongly is reversed, never edited: see Reverse a gift recorded by mistake.

Who: Whoever holds Record money at the unit records it. The donor's caretaker thanks them.

Ana records the bucket collection from the Riverside summer fair with No name — a collection, a cash box: $240 into Cash, for the General fund. It goes into the book with no receipt number, and nobody is asked to say thank you.

Mark a gift promised on your Give page received

  1. Find the giver under Promised on your Give page, with the reference they were given.
  2. When the money has arrived, press Mark received on their line.
  3. Check the Amount and the day it was Received: what they said on the Give page is filled in.
  4. Press Record gift.

Then: The gift is recorded as any other. The giver is made a donor, or found among your donors when they look like one, and how they asked to be thanked is saved on their card.

Rather not? Press Put away for a promise whose money never came. It leaves the list for good.

Who: When somebody promises a gift on a unit's Give page, the nearest people who keep a book, at that unit or the closest unit above it, are told, with the reference; the Owner and Admins are told only where nobody keeps a book.

Daniel gives on the Riverside Give page on Sunday and is shown the reference G-7KQ2M for the bank transfer. On Wednesday Tomas sees the transfer in the bank, presses Mark received, and the gift is recorded with the way Daniel asked to be thanked already on Daniel's card.

Reverse a gift recorded by mistake

  1. Find the gift in the list.
  2. Open the menu at the end of its line.
  3. Press Reverse….
  4. Say why: an auditor will ask.
  5. Press Reverse it.

Then: The gift stays on the list, struck through, and the book shows it and its reversal side by side. Its receipt keeps its number and is marked void, its thank-you is closed, and a Give page promise it settled is waiting again.

Rather not? Record the right gift with Record a gift once the wrong one is reversed.

Who: Only whoever holds Record money at the gift's unit.

Find a gift, or download the list

  1. Type a donor, a receipt number or a reference in the search box.
  2. Press Add filter to narrow by unit, status, when, fund or how it came.
  3. Press the Not thanked yet tile to see only the gifts still to thank.
  4. Press a receipt number to open the receipt.
  5. Press Download for the gifts as the list shows them, or Giving report for the year.
  6. Choose Excel (.xlsx) or CSV (.csv).

Then: The download holds the gifts of the unit chosen in the Unit filter, or your own, narrowed by the dates, the fund, how it came, Not thanked yet and the search, but not by status: reversed gifts are in it, marked in the Reversed column. The giving report holds that unit's gifts this year by month and by fund, each donor's year, and who gave last year and not this one.

Bring in gifts from a spreadsheet

  1. Press Import gifts.
  2. Press Excel template, and fill in one row per gift: the day, who gave, how much, how and into which account.
  3. Mark a gift from before that was thanked then as thanked already.
  4. Press Choose the filled-in file and choose it.
  5. Read what the check says, then press the Import button.

Then: Each gift goes into the book as Record a gift puts one: a gift with a name takes the next receipt number, and one with no name takes none. A donor not found by email, phone or name is added. Rows already in the book are left out.

You see the gifts of every unit where you hold See the books, a page at a time. Record a gift, Import gifts and the Give page's promises are for whoever holds Record money at the unit chosen in the Unit filter, or your own unit when none is chosen. A caretaker without See the books never comes here: they reach their donors from To do. Where a unit keeps its people's names from the units above it, a reader above sees its gifts as from A donor.
