Funds

Money given for a purpose, and what is left of it in the chosen unit's book: each fund's balance this year, and the funds themselves.

See what a fund holds

  1. Choose the unit under Unit, if you read more than one book.
  2. Find the fund in the list: restricted or unrestricted, with what it does beneath it.
  3. Read its row: what it carried into the year, what it was given and spent this year, and what is left. Given is all income credited to the fund, not gifts alone.

Then: A fund's balance is the income credited to it, gifts and any other, less what was spent from it, since the book began, opening balances included; what it carried in counts everything before the year began, and opening balances set this year. Spending charged to a restricted fund is that fund's money doing what it was given for. A fund in use with nothing in it yet still has a row.

Youth Camp 2026 raised money all spring. In June its row reads carried in 0, given 8,200, spent 3,150 and left 5,050, so the board knows what is still there for the camp.

Add a fund

  1. Press Add a fund under The funds.
  2. Type its Name.
  3. If Kept by is offered, choose This unit, and the units below it, or The whole organization.
  4. Write What it does in one line: every thank-you for a gift to it says it.
  5. Choose under Money given to it: Restricted — spent only on what it is for, or Unrestricted — spent on anything.
  6. Press Add fund.
  7. If it asks you to confirm it's you, type your password, and the code from your authenticator app if you have one.

Then: It is offered for gifts and entries at once: a unit's own fund there and in the units below it, the organization's everywhere. It shows here with nothing in it until money is given to it.

Who: Whoever holds Record money at the unit adds a fund kept there. Kept by shows only to whoever keeps the top unit's book, who alone adds a fund for the whole organization.

Change a fund, or retire it

  1. Press Edit beside the fund.
  2. Change its name, what it does, or whether it is restricted.
  3. To retire it, choose Retired — kept on old gifts under In use.
  4. Press Save.

Then: A retired fund is struck through, no longer offered for gifts or new entries, and stays on the gifts and entries that had it.

Rather not? Choose In use — offered for gifts to bring it back.

Who: A unit's fund is changed where it is kept, by whoever holds Record money there. Whoever keeps the top unit's book can change any fund, and alone changes the organization's own funds.

If a fund's balance is below zero

  1. Open the Journal for the same unit.
  2. Choose the fund in place of Every fund.
  3. Choose the dates the spending was in.
  4. Look for spending charged to the fund by mistake: a claim or an entry that named the wrong fund.
  5. Open its menu, press Reverse…, and post it again to the right fund.

Then: Both stay in the book, and the fund's balance here moves back.

Balances are one unit's book at a time, where you hold See the books. Adding a fund kept at the unit needs Record money there, and changing the organization's funds needs Record money at the top unit. A unit's own fund is offered there and in the units below it; the organization's everywhere.
