For review
One account's statement lines, each matched to what the book already has or put in an account, so its months can be reconciled.
Match a line to what the book has
- Choose the account at the top, if your organization keeps more than one bank or mobile money account.
- Read In the book beside each line: what it most likely is.
- For a match, check the entry offered and its day.
- Press Match.
- For a line marked A bill to pay, press Pay the bill.
- For a line marked A claim to pay back, press Pay it back.
Then: Match checks the line off against the entry, and nothing new is posted. Pay the bill records the bill's payment from this account on the line's day; Pay it back records the claim's repayment the same way, and the claimant is told. Either way the line is checked off and moves to Done.
Rather not? If the offer is wrong, open the line's three dots and press Find a match…, or Put in an account….
Who: Nobody pays back their own claim: somebody else at the unit records the repayment.
LAKESIDE PROPERTIES −600 on October 6: the open October rent bill from Lakeside Properties is offered as A bill to pay. Daniel presses Pay the bill, and the bill is paid and the line checked off in one press.
Put a line in an account, and keep a rule for it
- For a line marked Nothing matches, press Put in an account.
- Choose the account under Where it came from for money in, or What it was for for money out.
- Choose the Fund, and For a program if it was for one.
- Check What the entry says: the bank's words, unless you write others.
- To have lines like it offered this account from now on, check Next time, offer this account for lines like it.
- Check the words under Lines with these words.
- Press Add to the book.
Then: One entry is posted: the statement's account on one side, the account chosen on the other, dated the line's day, or in the month that is open when that month is closed. Another of your money accounts makes it a move between them, which that account's statement then matches. With a rule kept, lines like it show By a rule, and Add puts each one there in one press. Rules at the top lists every rule, to change or delete.
Rather not? Press Done, find the line and press Undo: the entry made for it is reversed, on the record.
Who: A rule only suggests: a person still presses Add. Whoever has Record money at the unit keeps the rules; anybody who can open the page reads them.
MONTHLY SERVICE FEE −2.50 on the Riverside account: Ana puts it in Bank charges and checks Next time. From the next statement on, each month's fee shows By a rule and goes in with one press of Add.
Record a gift from money in
- Find the money-in line marked Nothing matches.
- Press Record a gift.
- Find the giver under Who gave by typing a name, or choose No name — a collection, a cash box.
- Check the amount, the day, the account and the reference: they come from the line.
- Press Record gift.
Then: The gift is recorded into the statement's account, and its entry is checked off against the line in the same step. For a donor who may be contacted, a thank-you is set up as for any gift: on the To do of the donor's caretaker, who is told, or on yours.
A MOBILE TRANSFER line comes in on a Sunday with a phone number in the bank's words, and the line says Perhaps a gift from Tomas: the number is the one on Tomas's donor card. Lee presses Record a gift and finds Tomas's name already typed in under Who gave. Record gift stays grayed out until Lee chooses Tomas from the list; then it records the gift and checks the line off.
Find a match by hand, or several entries that make one line
- Open the line's three dots.
- Press Find a match….
- Search the book by words, a donor, a vendor or a program, if what you need is not listed.
- Check the entry it is, or several that add up to it, such as a deposit of three checks.
- Press Match once what is chosen comes to the line's amount.
Then: The line is checked off against each entry chosen. Nothing new is posted.
Rather not? If nothing in the book is it, put the line in an account, or record it where it belongs and come back. A row the bank's file gave twice comes off with Take it off the statement… in the same menu, then Take it off.
On May 12 the bank shows one deposit for three checks. Mary Ann opens Find a match…, checks the three gifts recorded at the Sunday service, sees the chosen total agree with the line, and presses Match once for all three.
Undo a line, or match one that came back
- Press Done to see the lines matched or added.
- Find the line and press Undo.
- Press To review, and match the line again or put it in an account.
- A line back by itself carries a note, “Its entry was reversed:” and why. Match it to the corrected entry, or, for a check the bank returned, the reversal to its own line.
Then: The line is back for review. An entry posted for it alone, by Put in an account or a rule, is reversed, on the record. A gift, a bill payment or a claim repayment recorded from the line stays in the book: undo it where it was made if it was wrong.
For review shows one unit's lines, one account at a time, at units where you have See the books. Matching, adding, recording a gift and keeping rules need Record money at that unit: the Owner, Admins, Unit coordinators and Finance officers. Lines dated before the month reconciling began for the account are set aside. A claimant's or a donor's name on a suggestion shows only where their unit lets you see it.
