Follow-up tracks
What happens to people after a program: each track is a named list of stages, and people move along it one stage at a time.
Add a track
- Press Add a track at the top of the list.
- Type its name in Name, such as Leader development.
- Say what it is for under What it is for, for whoever looks after it next.
- Type the stages under Stages, one a line, in order. The first is where everybody starts.
- Press Add under the form.
Then: Every unit can use it from the next program it plans.
After each convention, Sokha's organization contacts newcomers within a week, visits within a month and invites them to a group. Sokha adds a track called Newcomers with three stages: Contacted, Visited, Joined a group.
Put the people who came to a program on a track
- Open the program, and its Follow-up plan on the After tab.
- Press Make a plan and choose the track under Which track.
- Choose when people go on it, and who follows them up.
- Once people are checked in, press Put everyone who came on.
- For a walk-in with no booking, open Add someone by name, fill it in and press Add to the track.
Then: They are on the track's first stage, and in the follow-up queue for whoever follows them up, who is told. Anybody already on it is left as they are.
See how many people are on a track
- Read the count on each track's row.
- Open the follow-up queue to see who is at which stage, and who has waited longest.
Tracks are shared by every unit, so only an organization-wide role that changes settings, such as the Owner or an Admin, can add one. The page opens only for those who hold Change organization settings: anybody else who types its address is told it is set up by the organization's Owners and Admins. Somebody who holds it at a unit, not across the organization, sees every track with Add a track grayed out. Whoever plans a program chooses its track on the program's Follow-up plan. Follow-up must be in your organization's plan and switched on.
