Email queue

Every email your organization has sent or tried to send, what became of each one, and the addresses mail no longer reaches.

Find out whether an email reached somebody

  1. Type their name, their address or the subject in the search box.
  2. Or press Add filter to narrow it by status, by what the provider said, by what it was, or by unit.
  3. Read its mark: Waiting, In flight, Sent or Gave up, or the provider's own word once it has given one, such as Delivered, Bounced or Reported as spam.
  4. Read the provider's words under the mark, where it gave up.

Then: Sent means it left us and the mail provider took it. Delivered means their mail provider said it arrived: if they still cannot find it, ask them to look in their junk folder.

Mary Ann says their booking confirmation never came. Grace types mary in the search box and finds it marked Bounced, with the provider's words saying the mailbox does not exist: the address on the booking had a typing slip.

Send an email that gave up again

  1. Press the Gave up tile to see only those.
  2. Press Try again beside one.
  3. Or press the button at the top of Messages that tries all of them again.

Then: It is queued again with its tries reset, and goes out within five minutes. Trying all again queues the oldest 200 at a time, and the button says so when there are more.

If many emails are waiting

  1. Read the Waiting tile and how old the oldest is.
  2. Read the notice at the top, if there is one, saying ORG-APP's email is not connected.
  3. Press Waiting to see the emails still to go, each with when it is tried next.

Then: Waiting usually means not yet: emails go within five minutes, and one that failed for a moment waits a little longer before each new try.

If an address no longer gets anything

  1. Look under Addresses mail no longer reaches, below the list.
  2. Read what happened: it bounced for good, or its holder reported our mail as spam.
  3. Correct the address on the person's record.

Then: Nothing more is sent to an address on that list until it is changed. The Not delivered tile counts them.

Only an organization-wide role that manages settings, such as an Owner or an Admin, opens the email queue, because it shows every recipient's address, people outside who hold no seat among them. It is on the Settings menu of whoever manages settings for the whole organization, under Communication: managing settings at one unit is not enough. Anybody else finds nothing at this address. It lists your own organization's emails only.
