Donors

The people and organizations who give to the units whose book you read, who looks after each, and how each likes to be reached.

Give donors to somebody to look after

  1. Check each donor to give, or the box at the top for every donor shown.
  2. In the bar that appears, open Choose somebody… and choose who will look after them.
  3. Press Give them.

Then: The caretaker is told once, however many donors you gave. The thank-yous still owed, and the contacts planned for the old caretaker or for nobody, move to the caretaker's To do, and from then on the caretaker thanks them.

Rather not? Choose Nobody — back to whoever keeps the book to take them back: what they owed comes to you.

Who: Anybody seated at the donor's unit or below it can look after a donor, staff or volunteer, with or without a finance permission. Being given a donor is what opens that donor's card to them.

Ana, who keeps the Riverside book, checks six donors from the spring appeal and gives them to Tomas. Tomas is told once, and the two thank-yous still waiting for those donors move to Tomas's To do.

Add a donor before they give

  1. Press New donor.
  2. Choose A person or An organization, and give the Name.
  3. Add a Phone, an Email and an Address where you have them.
  4. Ask how they would like to be contacted, and press each way they choose, or Please don’t contact them.
  5. Choose Who looks after them, and the language to Thank them in.
  6. Press Add donor.

Then: Their card opens. A caretaker chosen here is told, as when donors are given later.

Rather not? A donor is also added by itself when their first gift is recorded.

Find the donors worth a call

  1. Press the Gave last year, not yet this tile.
  2. Press the No caretaker tile to see the donors nobody looks after yet.
  3. Press Add filter and choose Looked after by or A contact planned to narrow further.
  4. Open a donor to plan the next contact on their card.

Then: Each row shows the donor's last gift, this year, since they began, the next contact, and how they like to be reached.

Bring in donors from a spreadsheet, or download them

  1. Press Import donors.
  2. Press Excel template, and fill in one row per donor: their name, how to reach them, how they like to be contacted and who looks after them.
  3. Press Choose the filled-in file, then the Import button once the check passes.
  4. To keep a copy of the unit's donors instead, press Download.

Then: Somebody already a donor here, found by email or phone, is left as they are. The download holds each donor's email, phone, address and who to ask for only for whoever holds Record money at the unit; anybody else who reads the book, a Board member, a Unit lead or an Auditor, gets it without those four columns, and the file says where they are.

If donors show as A donor

  1. Read the note above the list: it names the units that keep their people's names from the units above them.
  2. Ask somebody seated there about a donor by name.

Then: You still see what was given there, not who gave it, and those donors' cards do not open for you.

Who: Anybody seated at that unit or below it who holds See the books there sees the names, and so does each donor's caretaker.

You see the donors of every unit where you hold See the books. New donor, Import donors and giving donors to a caretaker are for whoever holds Record money at the unit chosen in the Unit filter, or your own. A caretaker with no finance permission does not see this list: their own donors are under Your donors on To do, and each of their cards opens for them.
