Customers
Who each unit sells to and invoices: what each owes, how much of it is late, how quickly they pay, and each one's invoices, payments and statement.
Add a customer
- Press New customer.
- Say whether they are a company or a person, and give their name.
- Type Where invoices go: their accounts address.
- Give the days they pay within, their billing address and tax number if they have them.
- Press Add the customer.
Then: They are offered on a new invoice at that unit. A customer can also be typed in on an invoice: + A new customer… adds them as it saves.
Northfield Health Trust books the Boston hall. Grace adds them, with ap@northfield.example as where invoices go and 30 days to pay.
Change a customer, or retire one
- Open the customer from the list.
- Press Change, correct what is wrong, and press Save.
- Press More and choose Retire for one who no longer buys, or Delete… for one added by mistake.
Then: A change of where their invoices go is kept with when and by whom, and shown beside the address: it is how an invoice could be sent somewhere else, so it is on the record. The links already emailed to the old address stop, and the next reminder carries a new one. A retired customer is not offered on a new invoice; their invoices stay.
Harbor & Pine Group moves their accounts to a new team. Grace changes where their invoices go; the customer page says when it changed, and that Grace changed it.
Send a customer their statement
- Open the customer from the list.
- Press Statement PDF.
- Save it, and send it to them with your own words.
Then: The statement lists every invoice sent to them, what each still owes, and the sum.
Lakeside Community College asks what they still owe. Grace opens them, downloads the Statement PDF and emails it: two invoices, one late.
Customers lists the customers of every book you can open. Adding, changing and retiring need Record money at the unit that keeps them.
