Custom fields

Your organization's own fields about its people, such as a staff number or the languages they speak: shown on each HR record, in the People download, and read back by the people import.

Add a field

  1. Press Add a field.
  2. Type its Name.
  3. Choose its Kind of answer.
  4. For a choice, type the choices under Choices, one a line.
  5. Type a Hint that says what to put there, if it helps.
  6. Check Sensitive if only whoever reads personal details should see it.
  7. Press Add the field.

Then: It shows on every HR record at once, after the others, empty until HR fills it in, and the table counts how many of your people have it filled in.

Rather not? Press Cancel to add nothing.

Who: Set up by whoever keeps HR records over the whole organization: the Owner, an Admin, or an HR administrator seated at the top unit. HR over each person fills in the answers on their record.

Northfield adds Driver for program trips, a yes or no, and Permit category, a choice marked Sensitive. Their manager sees Permit category as held, never what it says.

Change a field, or move it

  1. Press Edit beside the field.
  2. Change its name, its choices, its hint, or Sensitive.
  3. Press Save.
  4. Press the up or down arrow beside a field to move it.

Then: Every HR record shows the change at once. Taking Sensitive off shows its answers to the person's manager, in the People download, and on the record without the HR unlock.

Archive a field, or bring it back

  1. Press Archive beside the field.
  2. To find it again, press the button at the foot of the table that shows the archived fields.
  3. Press Bring back beside it.

Then: Archived, it shows nowhere and its answers are kept. Brought back, they show again.

Rather not? Press Hide the archived to fold them away again.

See how a field looks, and how many have it

  1. Press a field's name.
  2. Read How it shows on an HR page, beside the table.
  3. Read the Filled in column: how many of the people you keep HR records for have an answer.

Then: The preview draws the field empty, as somebody fills it in on an HR record. It never shows anybody's answer.

If you cannot add or change fields

  1. Read the line above the table: it says who sets them up.
  2. Ask the Owner, an Admin, or the HR administrator at the top unit to add or change the field.
  3. Fill in the answers on each person's HR record, under Employment.

Everybody who keeps HR records somewhere sees the fields, and how many of their own people have each filled in. Only whoever keeps HR records at the organization's top unit (the Owner, Admins, or an HR administrator seated there) adds, changes, moves or archives them. Anybody else is told custom fields are for whoever keeps HR records. The page is there only where your organization's plan has HR foundations & onboarding.
