Compliance
Who holds the courses their unit requires, who is lapsing soon or overdue, and what each unit requires of whom.
Find who is short, and who lapses soon
- Open Who holds what.
- Press a unit under By unit to step down to it, or a unit in the trail above the list to step back up.
- Press a course under By course to see only its people.
- Press a tile, such as Overdue or Compliant, to list only those people.
- Or press Add filter to choose a unit, a Status or a course, and type a name in the search box.
Then: The people are listed overdue first, with when each completed the course and when it lapses. A clearance with an end date counts as lapsing soon 60 days before it lapses — the same window people are reminded on and Home counts — rather than after. Compliant counts everybody who holds it today, including those whose completion lapses soon.
Rather not? Press Download and choose Excel (.xlsx) or CSV (.csv) for the register, with a sheet by unit and a sheet of what each unit requires. The page lists them a page at a time; Download gives you everybody they select. Each download is recorded against your name.
Grace opens Riverside and presses Safeguarding essentials under By course: 18 of 24 hold it. The Lapsing in 60 days tile reads 3, so Grace presses it and books those three into the next class before their certificates lapse.
Remind people about a course
- Find the person in the list.
- Press Remind beside them.
- Or, to reach everybody at once, press Remind everybody overdue or lapsing above the list.
- Read whom it will reach, then press Remind them.
Then: Each is told by a notice that opens the course, worded for where they stand: overdue, lapsing soon, or not yet due. The page says how many were reminded, and anybody skipped is said, by name where you may see it.
Who: Remind everybody reaches everybody overdue or lapsing soon at the unit and course shown, whatever status or search you chose: up to 2,000 a press, the most pressing first. Press again for the rest.
Sokha presses Remind everybody overdue or lapsing (12)… for Safeguarding essentials at Riverside, then Remind them. The page says 10 people were reminded, and names Daniel and Mary Ann as not reminded: both were reminded on Monday, and the page says the day Remind reaches them again.
Book somebody into the next class
- Find the person in the list.
- Press Book into next class….
- Read the class it names, and its date.
- Press Book, or Not now to leave it.
Then: It gives them a place in the soonest class not yet begun that reaches them — or, when it is full, a place at the end of its waiting list — and tells whoever runs it. They are told too; in a paid class their place is held until it is paid, and they are told how to pay. The page says so if they do not hold what the course asks first: they are booked as you chose, and that is recorded.
Who: Whoever runs the class, its facilitators and whoever holds Run courses nearest its unit, is told somebody was booked from Compliance. Who it was is on the class's People tab.
Mary Ann is overdue on First aid basics. Dara presses Book into next class…, reads Northside, March, and presses Book. The class is full, so the page says they are 3rd on its waiting list, and told; whoever runs the class hears that somebody was booked.
If Remind or Book is not offered beside somebody
- Read their standing: somebody Current needs neither.
- Read what shows where the buttons would be: when they were last reminded, or the class they are already in.
- Check that you hold See people where they are seated, and that you hold Run courses or are HR there.
- If no class of the course is open that reaches them, ask whoever runs courses at their unit to open one.
Daniel's row reads Booked, with the Riverside class and its date, so there is no Book beside Daniel: they already hold a place. Sokha, at the national office, sees another class of this course beside somebody booked at a unit Sokha cannot see.
Require a course, or change what is required
- Press Require a course.
- Choose the Course.
- Under Units, press Add a unit for each unit that requires it.
- Choose Everybody seated, or Only these roles and check each role.
- Type the Grace period: the days somebody new to a seat has. Leave it blank for none.
- Press Require it.
Then: It counts at once for everybody it is required of at each unit you chose and the units beneath it. Anyone who already holds a current completion counts at once; the people it is required of see it under My learning, and are reminded once it is overdue or about to lapse.
Rather not? Open Requirements to change one. Edit changes of whom and how long; Pause… stops it counting until you press Resume; Archive… takes it off the list and stops it counting, and every completion stays. Restore… under Archived brings it back with the terms it had, and requiring the same course at the same unit again restores it with the new terms.
Who: Requiring, changing, archiving and restoring need Run courses at the unit. See who on a requirement lists the people it counts.
Dara requires Safeguarding essentials at Riverside of Youth leaders only, with a grace period of 30 days. A youth leader seated on Monday shows Not yet due with 30 days to do it, and is overdue only if the 30 days pass first.
You see people at the units where you hold both See people and See course records, and beneath them; Download holds the same, and asks the same two keys. Requirements are listed for those units, and set, changed or archived only where you also hold Run courses. Remind and Book show only beside people you may remind or put in a class, and Import records only to whoever runs courses or is HR at a unit. Where none of your seats does the work a register is for (running courses, approving time or leave, seating people, safeguarding, reading the board's business or the books, or running bookings), as for Staff, a Volunteer or a Project manager, Compliance opens My learning instead, where what is required of you and how you stand are yours alone. Where a unit keeps its people's names within it, they read Name withheld: counted, but never named or found by a search. Courses are part of your organization's plan.
